The primary focus of the Accounts Assistant is to maintain accurate records and support the day-to-day operations of the finance and Office function, working closely with the directors and the accountant.
The role covers a wide range of responsibilities including mainly purchase ledger, maintain import and export registers and payroll support.
Duties and responsibilities
Purchase ledger administration
- Accurate coding and posting of purchase invoices.
- Liaising with suppliers.
- Reconciling supplier statements and resolving discrepancies.
- Managing shared purchase ledger mailbox and dealing with queries promptly.
- Posting and reconciling expenses claims company credit cards to employees.
- Raising purchase order for office stationery and non β stock items.
- Import and Export register
- Maintain import and export register to comply with HM Revenue and Customs
- Payroll Support
- Collating accurate weekly staff hours and overtime for payroll processing.
- Maintaining sickness and holiday records.
- Communicate with employees.
May have to Answer telephone and any other general office duties as required by directors.
- Ad hoc admin for other departments.
Experience and qualifications
- AAT level 2/3 (or currently studying) preferred but not essential.
- GCSEs (including English and Maths) required; further education in finance advantageous.
- Computer literate β Office based software.
- Knowledge of Sage 200 (advantageous but not necessary).
- Purchase ledger experience desirable.
- General office payroll support experience desirable.
- Good communication skills.
- Good organisational skills and a methodical approach.
- Ability to work on own initiative after training
