What are we looking for?
We are looking for a proactive, organised, and people‑focused Operations Administration Team Leader to oversee the daily delivery of core administrative tasks that support our wider operational function. The role ensures accuracy, timeliness, and compliance across areas such as Proof of Delivery (POD) processing, claims support, business‑to‑business transactions, audit preparation, and general operational administration, including sales and purchase orders. You will lead a small team of Administrators, providing day‑to‑day leadership, coaching, and development. You will manage workloads, act as the first point of escalation for process queries, and work closely with managers across the business to drive continuous improvement and strengthen service delivery.
Key Responsibilities:
- POD (Proof of Delivery) management: checking accuracy, reconciling missing PODs, and escalating discrepancies.
- Claims administration: supporting the processing of PODs linked to claims, gathering evidence, and ensuring documentation is complete.
- Audit tasks: completing weekly/monthly checks, maintaining audit‑ready documentation, and supporting internal/external audit preparation.
- Data entry & system accuracy: ensuring information is accurate, complete, and aligned with operational processes.
- General operational administration: inbox monitoring, updating trackers, producing reports, and supporting operational stakeholders with relevant tasks.
- Provide day‑to‑day leadership and guidance to the Administration team.
- Manage workload allocation and monitor progress to ensure deadlines and SLAs are met.
- Set clear team and individual objectives, conduct regular performance reviews, and support ongoing coaching, development, and onboarding.
- Handle first‑line escalations, resolving issues quickly and confidently.
- Ensure all administrative outputs meet quality standards and compliance requirements.
- Identify process gaps, inefficiencies, or recurring errors and recommend improvements.
- Contribute to process reviews, documentation updates, and training materials.
- Operate within the Producer Care team, supporting day‑to‑day administrative activities to meet service requirements.
About You:
- Previous experience as a Team Leader, Supervisor, or similar role.
- 2–3 years’ experience in an administrative or operational environment, including day‑to‑day team management and performance support.
- A strong communicator, able to handle challenging conversations and escalations professionally.
- Highly organised, with excellent attention to detail.
- Process‑driven, with a strong sense of structure, accuracy, and compliance.
- Proficient in Microsoft Office, particularly Excel, Outlook, and Teams.
- Experience with Power BI, ERP or bespoke internal systems is beneficial but not essential; full training will be provided.
