This is an excellent opportunity to work at a very successful legal practice based in the City of London. The successful candidate will have some litigation experience dealing with court bundles and the like - please do not apply otherwise.
Private Medical Insurance and Critical illness after probation. This is a hybrid role, 3 days in the office.
- Telephone call management
- Office stationery and supplies
- Assist with point to point travel bookings which may include single/return train/flight tickets, hotel and taxi bookings (we have an external travel provider to assist with this)
- Assist with organising client and firm meeting logistics such as booking conference rooms, arranging refreshments, equipment and VC set-up
- Collect and distribute post and book couriers
- Managing the firm’s diary (to include marking holidays/absences where appropriate)
- General office queries
File management work as below:
- Assist with new file openings including creating new clients and matters, conducting sanctions and world check searches, setting up Clio and iManage workspaces, assist fee earner with completion of KYC forms and letters of engagement
- Follow up with fee earners for outstanding forms
- File relevant documents in electronic or hard copy files as and when required
- Assist with making client/matter changes such as adding/amending client addresses, third party payers
- Maintaining the firm’s file opening and closing record
- Assist Office Manager and Compliance team with ongoing monitoring of files
Billing Administration:
- The creation of draft bills, editing of bills and narratives, producing bill cover letters, when required, finalising bills
- Making changes to agreed rates at the final billing stage
- Checking billing guides for correct hourly rates and typos in billing entries etc
- Liaise with the Legal Cashier for finalising invoices, settlement of invoices using client funds, addition of disbursements and expenses to matters
Document Assistance:
- Scanning
- Photocopying
- Typing (very little document production type work)
- Formatting
- Running comparisons
- Creating / amending PDFs
Litigation work as below:
- Bundling documents – printing, scanning, indexing, OCR’ing, paginating, bookmarking and hyperlinking bundles
- Electronic bundles – using and sharing OneDrive links to distribute to counsel/arbitrators
- Arranging delivery of bundles to arbitrators/court
General:
- Needs to deliver high quality, accurate work
- Meet required deadlines
Good knowledge of the Microsoft suite (Outlook, Word (in particular), Excel, PowerPoint, Sharepoint, OneDrive) and PDF formatting. Typing speed and accuracy. Good knowledge of iManage and Clio (billing software and training will be provided).
