The successful candidate will support the delivery of high‑quality, safe, and compassionate health care by managing a large, growing waiting list for the Urology, Breast, Vascular, and General Surgery outpatient teams. They will act as a role model, demonstrating NNUH’s PRIDE values and working across all aspects of the role.
Responsibilities
- Provide a support service to the technical, secretarial, medical and nursing staff of the Department.
- Carry out receptionist duties, including prioritising and arranging appointments and maintaining the various appointment systems, identifying test requests and investigations, and coordinating the various clinics within the department.
- Deal with patients and external and internal staff enquiries in person or via telephone, in a courteous and confidential manner and provide assistance as required.
- Ensure patients’ safety and well‑being in the waiting area prior to them being called for their appointment and alerting appropriate staff to any cause for concern.
- Keep a log of telephone requests for investigations in line with department policy, prioritising these and ensuring messages are conveyed to the appropriate technical staff.
- Ensure appointment lists are maintained and prepared in readiness for clinical work.
- Obtain and prepare notes in readiness for clinics, investigations or at the request of staff within the department.
- Maintain a record of the transfer of notes to and from the department.
- Understand the 18‑Week Pathway, input the correct RTT codes and validate the patient pathway where appropriate.
- Liaise with Secretaries and other departments within the Trust to ensure case notes, X-rays and referrals are available for every patient attending an outpatient clinic, and with external stakeholders to obtain referrals if necessary.
Qualifications & Requirements
- Good IT skills with the ability to learn multiple Trust IT systems and use the Patient Administration System (PAS) with real‑time data entry.
- Excellent communication, confidentiality and teamwork skills.
- Strong organisational and prioritisation abilities, with a flexible attitude to meet the demands of high‑volume outpatient services.
