A Vacancy at Norfolk and Norwich University Hospitals NHS Foundation Trust. Are you people‑focused, respectful, hold integrity, dedicated and maintain excellent standards? As a Receptionist within the Oncology and Haematology Directorate you can help support our outpatient department covering the Colney Centre, Mulbarton Ward, Chemotherapy and Radiotherapy treatment areas, and the Weybourne Day Unit. Your role will involve providing an efficient administrative service for patients while working with medical and non‑medical teams across the Directorate.

Working Hours and Schedule

The Colney Centre operates from 07:30 to 20:00 Monday to Friday, the Weybourne Day Unit from 08:00 to 18:00 Monday to Friday and 08:00 to 16:00 Saturday. This position requires flexible working, including occasional weekends and bank holidays.

Responsibilities

  • First point of contact for visitors or callers with queries.
  • Book and manage outpatient appointments.
  • Admit and discharge day‑case chemotherapy patients.
  • Arrange transport for patients.
  • Manage waiting lists in line with the Referral to Treatment process and perform other admin tasks, providing support to technical, secretarial, medical and nursing staff.
  • Prioritise and arrange appointments, maintain appointment systems, identify test requests and investigations, and coordinate various clinics.
  • Handle patient and staff enquiries in person or by telephone, courteously and confidentially.
  • Ensure patient safety and well‑being in waiting areas and alert staff to any concerns.
  • Keep a log of telephone requests for investigations, prioritise them and convey messages to technical staff.
  • Maintain appointment lists and prepare them for clinical work.
  • Prepare notes for clinics, investigations or on staff request.
  • Maintain records of note transfers to and from the department.
  • Understand the 18‑Week Pathway, input the correct RTT codes and validate the patient pathway where appropriate.
  • Liaise with Secretaries and other departments within the Trust to ensure case notes, X‑rays and referrals are available for outpatient clinics; coordinate with external stakeholders for referrals if necessary.
