We are looking for a proactive and thorough Onboarding Compliance Officer to join our Quality & Compliance team. You will play a vital role in ensuring that all new employees, workers, apprentices, sponsored workers and internal staff meet the required pre-employment compliance standards before being authorised to commence work.
Working closely with Recruitment, Operations, Homecare, Learning & Development and management teams, you will help ensure that our onboarding processes are efficient, accurate and fully compliant with legislative, regulatory, contractual and organisational requirements.
This is a key role in protecting the organisation, supporting safe recruitment practices and ensuring that every new starter is appropriately checked, verified and inducted before commencing their duties.
About the Role
As our Onboarding Compliance Officer, you will coordinate the onboarding process from conditional offer through to final employment clearance. You will oversee mandatory employment checks, monitor outstanding documentation, coordinate induction compliance and maintain accurate, secure personnel records.
You will also have the delegated authority to withhold employment clearance where mandatory requirements have not been satisfactorily met.
Key Responsibilities
Pre-Employment Compliance and Checks
- Coordinate and manage onboarding compliance activity from conditional offer through to employment clearance.
- Ensure all mandatory pre-employment checks are completed, verified and accurately recorded.
- Complete and review Right to Work checks, Enhanced DBS checks and DBS Update Service verifications, where applicable.
- Verify photographic identification, proof of address, employment references, employment history, qualifications and professional registrations, where applicable.
- Check driving licences, vehicle insurance, MOT documentation, occupational health clearances and sponsorship or visa compliance, where required.
- Ensure all contractual documents and new starter paperwork are completed and returned.
- Identify and escalation discrepancies, concerns and compliance risks to the Quality Lead.
Induction and New Starter Compliance
- Coordinate attendance at mandatory induction training.
- Ensure every new starter completes the mandatory two-day Corporate Induction Programme.
- Maintain accurate induction attendance records and retain evidence of completion.
- Monitor outstanding induction requirements and liaise with managers to ensure completion within the required timescales.
Quality Assurance, Audits and Reporting
- Conduct periodic onboarding file audits to ensure required standards are maintained.
- Prepare records for internal and external audits, inspections and compliance reviews.
- Produce onboarding compliance reports and management information.
- Identify trends, potential risks and opportunities to improve onboarding systems and processes.
Records Management and Data Protection
- Maintain accurate and up-to-date electronic personnel files.
- Ensure onboarding documentation is securely stored, accessible when required and retained in line with legal and organisational requirements.
- Update compliance systems, databases and monitoring tools.
- Maintain confidentiality and adhere to data protection requirements at all times.
Stakeholder Engagement
- Build effective working relationships with internal departments, managers and external stakeholders.
- Promote a culture of compliance, quality, professionalism and accountability.
- Contribute to team meetings, service improvement initiatives and organisational projects.
What are we looking for
We are seeking someone who demonstrates:
- Excellent attention to detail and a methodical approach to reviewing documentation.
- Strong organisational and time-management skills, with the ability to monitor multiple onboarding cases and deadlines.
- The ability to identify missing information, inconsistencies and potential compliance risks.
- Good communication and interpersonal skills, with the confidence to liaise with candidates, managers and internal teams.
- A high level of integrity, discretion and commitment to confidentiality.
- The ability to maintain accurate records and manage sensitive information appropriately.
- A proactive approach to problem-solving and continuous improvement.
- The confidence to uphold compliance standards and elevate concerns when necessary.
- Experience in recruitment administration, onboarding, HR administration, compliance or a regulated care environment would be relevant to this role.
A Key Responsibility
No individual may commence work until full onboarding clearance has been issued.
This includes employees, workers, apprentices, agency personnel, sponsored workers, volunteers and contractors. All applicable pre-employment checks, mandatory documentation and regulatory and contractual requirements must be satisfactorily completed and verified. The mandatory two-day Corporate Induction Programme must also be successfully completed and recorded.
The successful candidate will play a crucial role in ensuring this standard is consistently maintained.
Why Join Us?
