NJR Recruitment is currently working with a highly respected, independent financial planning firm to recruit a Senior Financial Planning Administrator. This is an integral role within the business, providing essential support to Financial Planners and delivering an excellent, client-centric service. The successful candidate will join a busy and collaborative team where accuracy, communication and the ability to work to agreed timescales are key.

About the Role

As a Senior Financial Planning Administrator, you will work closely with Financial Planners, Paraplanners and other key stakeholders to support the delivery of high-quality financial planning and advice services. You will be responsible for a varied workload, supporting clients directly while also ensuring the Financial Planners have everything they need to deliver an exceptional client experience.

Key Responsibilities

  • Supporting clients and Financial Planners via telephone, email and video
  • Handling client enquiries and liaising with providers
  • Promoting the Personal Financial Portal and processing referrals
  • Booking appointments and managing Financial Planner diaries
  • Preparing complex meeting packs and supporting Financial Planners with client meeting preparation
  • Submitting instructions to platforms and providers
  • Working closely with Financial Planners on all aspects of their day-to-day client work
  • Meeting and greeting clients and visitors to the office when required
  • Opening, scanning and distributing incoming mail
  • Maintaining accurate and up-to-date client records, back-office systems and shared folders
  • Contacting new and existing clients to obtain information on behalf of Financial Planners
  • Working closely with Paraplanners and other stakeholders to support clients and the delivery of financial planning services
  • Providing general administration and coordination support as required

About You

The successful candidate will ideally have:

  • Previous experience in a Financial Planning support or administration role within financial services
  • Strong knowledge of Microsoft Office, particularly Word, Excel, Teams and SharePoint
  • Knowledge of Intelligent Office (IO)
  • Excellent organisational skills and strong attention to detail
  • Good numeracy skills
  • Excellent communication and interpersonal skills
  • The ability to manage a varied workload and work effectively as part of a team
  • The ability to work to tight deadlines with minimal supervision
  • A proactive, adaptable and client-focused approach
