Nixon McQuade are delighted to be working with a well-established law firm in Belfast who are seeking an Administration Assistant to join their team. This is an excellent entry-level opportunity for someone looking to build a career within legal support.
The role will involve providing administrative support to the firm's Legal Secretaries and Solicitors, assisting with document production, file management, court bundles, post, scanning, filing and general office support. The firm offers a structured and supportive environment, with the opportunity of securing a training contract and long-term career development.
The Role
- Providing general administrative support across the firm
- Supporting Legal Secretaries and Solicitors with day-to-day tasks
- High volume document production, photocopying, scanning and filing
- Opening and organising case files in hard and soft copy
- Scheduling appointments, meetings and court dates
- Assisting with billing, invoicing and payment procedures
- Managing post, including scanning, referencing and saving documents to files
- Liaising with clients, courts and third parties
- Preparing bundles of documents for court hearings
- Supporting with hand deliveries and court runs as required
- Providing reception cover and supporting with hospitality when required
- Booking travel as and when required
- Supporting wider administrative and business improvement tasks
The Person
- A proactive and flexible approach to work
- Strong organisational skills and excellent attention to detail
- Excellent written and verbal communication skills
- Proficient in Microsoft Office, including Word, Excel, Outlook and PowerPoint
- Able to manage multiple tasks and prioritise workload effectively
- Confident working independently and as part of a team
- Understanding of confidentiality and data protection
- Previous office, administration, legal or professional services experience would be advantageous but is not essential
