We are seeking a detail-oriented and highly organized Operations Coordinator to manage supplier coordination for Media Operations. The role focuses on ensuring the timely availability, tracking, and movement of stones in line with operational targets and company standards. The ideal candidate will work closely with suppliers, team leads, and internal stakeholders to maintain smooth day-to-day media operations while ensuring accuracy, accountability, and process compliance.
Key Responsibilities
- Coordinate with suppliers to ensure the availability of a minimum of n+10 stones per agent in accordance with company standards and operational targets.
- Calculate daily operational capacity requirements and arrange stones from suppliers accordingly.
- Ensure all stones sent for media are properly listed on the platform:
- For FTP or direct upload suppliers, verify listings are completed before processing.
- For API suppliers, ensure stones are live on the platform prior to media handling.
- Coordinate with suppliers for newly manufactured stones to ensure certification and platform listing are completed before stones are sent to Media Operations.
- Verify and maintain accurate records of stones received from suppliers, including total counts and accompanying stone lists.
- Conduct thorough inward checks for every packet received and promptly address discrepancies such as:
- Missing stones
- Count mismatches
- Incorrect packet contents
- Share detailed stone lists with Team Leads to support operational planning and execution.
- Maintain accurate inward and outward records for the Media Operations department.
- Ensure acknowledgement receipts are properly signed, documented, and shared with suppliers.
- Collaborate with Team Leads to plan weekly stone requirements and operational workflows.
- Keep suppliers informed about updates, process changes, and developments related to Media Operations.
