We are looking for a detail‑driven Ocean Export Coordinator to join our growing team and support the seamless movement of global cargo. In this role, you will take ownership of the end‑to‑end export process, ensuring every shipment is handled with precision, regulatory compliance, and exceptional customer care. You will be the central link between clients, carriers, and internal teams - managing documentation, coordinating vessel bookings, and safeguarding the accuracy of all export activities.

What you’ll do

  • End‑to‑End Ocean Export Coordination: Manage the full lifecycle of ocean export shipments for an assigned customer base - from receiving instructions to final file closure - ensuring every step is executed accurately, efficiently, and in line with company and regulatory standards.
  • Documentation & Regulatory Compliance: Prepare, review, and process all export documentation (SLI, BLs, Delivery Orders, Certificates of Origin, Insurance Certificates, Export Declarations, etc.) through GS‑NET and CargoWise. Ensure all documents meet company, carrier, and government deadlines while adhering to domestic and international shipping regulations.
  • Cargo Booking & Shipment Coordination: Arrange, book, and confirm cargo space with carriers, coordinate vessel schedules, and provide timely shipment notifications to shippers, consignees, and destination offices to maintain smooth cargo flow.
  • Customer Communication & Issue Resolution: Serve as a clear and reliable point of contact for customers, offering proactive updates and resolving shipment queries promptly. Escalate any irregularities or operational challenges to the Supervisor or Manager to ensure uninterrupted service.
  • Rate Calculation, Cost Control & File Closure: Calculate freight and insurance charges accurately according to established procedures, maintain cost efficiency, and finalize shipment files with correct document distribution and compliance checks.
  • Cross‑Functional Collaboration: Work closely with internal teams to maintain precise records, support operational KPIs, and uphold service levels across the export workflow. Support the department with other operational tasks as required.

Requirements

  • Industry Background: Experience in freight forwarding or a degree in logistics, with a solid grasp of ocean‑export concepts, practices, and documentation standards.
  • Communication & Language Skills: Strong professional English for communication with customers, carriers, customs, and internal teams, paired with the ability to present and influence effectively at all organizational levels.
  • Technical & System Proficiency: Confidence working with freight management systems and MS Office; familiarity with CargoWise is a plus.
  • Documentation & Organizational Strength: Ability to organize, prepare, and assemble documents from multiple data sources while maintaining accuracy and compliance.
  • Operational Agility: Skilled at multitasking, prioritizing, and working under pressure — balancing independence with strong teamwork.
  • Customer Service Mindset: Clear, service‑oriented communication and a commitment to supporting customers throughout the export process.
