Job Overview
Reporting to the General Manager, the Administrative Assistant is responsible for supporting the day-to-day administrative activities of the company across all departments with a focus on commercial, procurement, organisational, and data logging tasks.
Responsibilities
- Procurement activities, such as requesting quotations, creating/sending purchase orders.
- Quality system scanning/filing and data entry.
- Compiling manuals for QA team and distributing/uploading.
- Health and safety system data entry and reporting, e.g. uploading meeting summaries, data entry, supporting the filing of reports, research on related topics.
- Logging and maintaining quote and sales data on company-wide system (Salesforce).
- Support to the finance team with admin-related activities.
- Writing minutes and meeting agendas.
- Answering the phone, welcoming visitors.
- Support and lead as required for day-to-day running of the office, e.g. office supplies, company events, organise deliveries, support logistics and shipping, facility management.
- Establishes, maintains, processes, and/or updates files, records, and/or other documents, including employees telephone list and contacts.
- Resolve office-related malfunctions and respond to requests or issues.
- Serve as a resource to other departments as needed.
- Other tasks as assigned.
Qualifications
- Education to A-level or equivalent standard with good ability and confidence in general maths and English.
- Experience as an office assistant or in a related field.
- A foundation knowledge in the areas of company accounts or purchasing would be well regarded.
- Good computer skills and proficiency in Microsoft Office.
- Ability to write clearly and help with word processing when necessary.
- Warm personality with strong communication skills.
- Must be able to focus on a wide variety of tasks and responsibilities and show initiative and self-motivation.
- Ability to work well under limited supervision.
- Must be able to work well with and support current team members and demonstrate good attention to detail, initiative, organisation, and time management.
- Have a valid driver's license.
- Good command of the English language.
