Nikkiso Clean Energy & Industrial Gases is a leading provider of cryogenic pumps, heat exchangers, process systems, turboexpanders, services, and solutions for the liquefied natural gas (LNG), liquefied hydrogen (LH2), and industrial gases industries. We are a subsidiary of Nikkiso Company Ltd, a leading industrial manufacturer headquartered in Tokyo, Japan.

Reporting to the General Manager, the Administrative Assistant is responsible for supporting the day-to-day administrative activities of the company across all departments with a focus on commercial, procurement, organisational and data logging tasks.

Responsibilities:

  • Procurement activities, such as requesting quotations, creating/sending purchase orders.
  • Quality system scanning/filing and data entry.
  • Compiling manuals for QA team and distributing/uploading.
  • Health and safety system data entry and reporting.
  • Logging and maintaining quote and sales data on company wide system (Salesforce).
  • Support to the finance team with admin related activities.
  • Writing minutes and meeting agendas.
  • Answering the phone, welcoming visitors.
  • Support and lead as required for day to day running of the office.
  • Establishes, maintains, processes, and/or updates files, records, and/or other documents.
  • Resolve office-related malfunctions and respond to requests or issues.
  • Serve as a resource to other departments as needed.
  • Other tasks as assigned.

Qualifications:

  • Education to A-level or equivalent standard with good ability and confidence in general maths and English.
  • Experience as an office assistant or in a related field.
  • A foundation knowledge in the areas of company accounts or purchasing would be well regarded.
  • Good computer skills and proficiency in Microsoft Office.
  • Ability to write clearly and help with word processing when necessary.
  • Warm personality with strong communication skills.
  • Must be able to focus on a wide variety of tasks and responsibilities and show initiative and self-motivation.
  • Ability to work well under limited supervision.
  • Must be able to work well with and support current team members and demonstrate good attention to detail, initiative, organisation and time management.
  • Have a valid driver's license.
  • Good command of English language.
