We’re on the lookout for a highly organised and proactive HR Administrator to support our People team on a 6 month fixed term contract. The HR Administrator will provide critical administrative support to the People Team. This role ensures the smooth operation of HR and recruitment processes, maintaining employee records, managing documentation, and assisting hiring managers with recruitment activities. This role can be based from our support centres in Soho, London or Brighton i360.
Key Responsibilities
- HR Administration & Compliance
- Take notes during investigation and disciplinary meetings.
- Prepare, send, and track completion of DocuSign documents.
- Maintain and update accurate employee records on the HR system.
- Support data requests and ensure timely and accurate reporting.
- Manage the People and Recruitment inbox, responding to queries in a timely manner.
- Assist with the creation and distribution of employee communications, including policy updates and HR notices.
- Ensure HR policies and procedures are up to date and assist in reviewing company handbooks.
- Support employee onboarding and offboarding processes, including issuing contracts and conducting exit interviews.
- Assist in the administration of employee benefits and liaise with third-party providers as necessary.
- Administer and update content within Flow LMS, ensuring training records remain accurate and up to date.
- Track mandatory training completion and follow up with managers as needed.
- Support the coordination of training events, workshops, and learning initiatives.
- Generate reports on training participation and completion rates.
- Assist hiring managers with job postings and closures on the Applicant Tracking System (ATS).
- Provide general recruitment administration support as needed.
- Oversee Talent Funnel ATS, ensuring hiring managers are supported with job listings and candidate progression.
- Coordinate interview schedules and liaise with candidates regarding interview arrangements.
- Conduct initial CV screening and shortlist candidates for review.
- Assist in issuing offer letters, contracts, and new hire paperwork.
- Support employer branding initiatives, including job fair coordination and social media content for recruitment.
- Maintain and update organisational charts and employee directories.
- Assist in HR reporting, compiling metrics on recruitment, retention, and other key HR functions.
- Support the coordination of company-wide events, employee engagement initiatives, and well-being programs.
- Provide administrative support for employee recognition programs.
