Job Type: Full-time

Salary: 30K-40K (depending on experience)

Job Summary: To run the day-to-day warehouse operation end-to-end: goods in, stock accuracy, picking/packing, dispatch, replenishment for reps and stores, website stock availability, and customer service support, while maintaining strong controls in Sage and ensuring a smooth flow of stock across the business. This role is central to keeping sales flowing across:

  • Websites (D2C)
  • Sales reps (route trade)
  • Company-owned retail
  • Wholesale / convenience store orders

Key responsibilities:

  • Warehouse operations and dispatch: Plan and lead daily workflow: picking, packing, labelling, dispatch, and courier handover. Ensure service levels for web orders (same day/next day targets where applicable). Maintain a clean, safe, organised warehouse (layout, racking, quarantine areas, returns area). Manage consumables (labels, packaging, stamps, tape, etc.) and prevent downtime.
  • Stock control and stock accuracy: Own stock integrity across warehouse, reps, stores, and website stock feeds. Run cycle counts and variance investigations; implement corrective actions. Maintain and improve core stock. Prevent oversupply in stores: monitor holdings and recommend/execute optimum adjustments. Manage short-dated/slow-moving stock: rotation, markdown plans, and targeted allocation.
  • Multi-channel replenishment: Produce weekly store and rep stock sheets/orders; coordinate picking and despatch. Liaise with store managers and reps to resolve variances, shortages, and urgent needs. Track store deliveries vs received; reconcile differences promptly.
  • Purchasing support and supplier coordination (as delegated): Prepare draft purchase orders based on minimums/optimums, sales velocity, and lead times. Coordinate with freight/couriers (WTC/DPD/Royal Mail etc.) for collections and deliveries. Maintain supplier lead time tracker and chase ETAs to avoid out-of-stocks.
  • Systems & admin (Sage and records): Complete required Sage tasks accurately and on time (buying/selling, internal transfers, sales orders, PO matching where required). Keep documentation clean: delivery notes, credits, returns, discrepancy logs. Support finance/ops with stock-related reporting and queries (without owning full finance tasks).
  • Customer service & issue resolution: Respond to customer service emails/calls related to: deliveries, missing items, wrong items, order queries, returns. Support trade customers (store owners/staff) with order and delivery queries. Escalate sensitive issues (complaints, chargebacks, major errors) appropriately.
  • Team supervision (where applicable): Supervise warehouse staff (daily task allocation, standards, productivity, training). Create/maintain SOPs for: picking, packing, goods-in, stock counts, returns, and courier processes. Maintain performance standards and promote right first time culture.

Success measures (KPIs):

  • Pick/pack accuracy (errors per 1,000 orders)
  • On-time dispatch rate (web + trade)
  • Stock accuracy / variance levels (cycle counts and full counts)
  • Out-of-stock rate on key lines (web + stores + reps)
  • Speed of variance resolution (time to close discrepancies)
  • Returns and complaint rate attributable to warehouse process
  • Store/reps service level (orders fulfilled in full/on time)

Skills & experience:

  • Essential proven warehouse supervision/management experience (fast-moving, multi-SKU environment).
  • Experience in procurement.
  • Strong stock control skills: counts, variance investigation, disciplined processes.
  • Confident using systems/spreadsheets; comfort with stock sheets and structured tracking.
  • Proficient in Excel & Google sheets.
  • Able to run a warehouse day independently: priorities, pressure, accuracy.
  • Ability to carry out regular manual handling of items up to (25) kg safely.
  • Ability to work with speed and accuracy.
  • Good physical stamina and ability to work on your feet for extended periods.
  • Strong advantage: Experience supporting e-commerce fulfilment (labels, couriers, returns).
  • Experience with Sage (or similar ERP/accounting stock module).
  • Experience supporting purchasing/replenishment decisions.
  • Understanding of retail/store replenishment and route trade (sales reps).

Working hours: 40 hrs per week Monday-Friday 8pm-4:30pm (Saturday if required, with x1 day off during the week)
