Over the last 60 years we have grown to become one of Northern Ireland's largest independent oil distributors operating with a large fleet of vehicles. We are now recruiting an organised and proactive Commercial Workshop Administrator to join our team based in our Head Office, Greysteel. Reporting to the Operations Director, the Workshop Administrator will contribute to the efficient and compliant running of our fleet maintenance operation.

Responsibilities (not limited to):

  • Booking in work and scheduling jobs for the workshop team
  • Recording information on vehicle breakdowns and ensuring appropriate workshop actions
  • Preparing and maintaining job sheets and maintenance schedules
  • Liaising with the Operations Director in relation to the ordering of parts, equipment etc. as required
  • Maintaining accurate fleet maintenance and compliance records
  • Liaising with suppliers to resolve order or delivery queries promptly
  • Collating, inputting, and maintaining data for purchasing logs and audit purposes
  • Liaising with the Finance Team to ensure all purchase documentation is accurate
  • Keeping all fleet management software up to date to ensure 100% asset specification and location accuracy
  • General office administration and support to the Operations Director as required

Experience, Skills and Attributes:

  • Previous experience in an administrative role
  • Previous experience in a similar environment
  • Strong clerical and organisational abilities
  • Proficiency in Microsoft Office (Outlook, Excel, Word)
  • Excellent communication and customer service skills
  • Full Driving Licence (Desirable)

Location: Head Office, Greysteel

Hours: 40 hours paid, 8am - 5pm, Monday to Friday (One-hour lunch break unpaid)

Salary: £15.00 Per Hour
