We deliver acute hospital, primary, community and mental health care services to a population of over 1.15 million and a wider population of 2.2 million when our regional and national services are included.

About the Role:
We are seeking a highly organised and proactive individual to join our team as an Admin / Waiting List Manager within the Older People and Stroke Directorate. This role involves managing the Directorate PA team and the Speech and Language Therapy Admin Team, Older People and Stroke Admin team, ensuring efficient and effective administrative support across the department. We require someone who is adaptable and able to prioritise and reprioritise tasks throughout the day to meet the demands of the department.
Key Responsibilities:
- Team Management: Oversee the Directorate PA team and the Speech and Language Therapy Admin Team, and Older People and Stroke Admin team including conducting 1:1 meetings, Turas appraisals, and recruitment processes. Manage and utilise the Scottish Standard Time System (SSTS) for staff timekeeping and payroll purposes.
- Waiting List Management: Pull and collate waiting list reports, ensuring accuracy and timeliness. Extensive use of Microsoft Excel is required. Utilise MicroStrategy for data analysis and reporting. Provide ad hoc data for outpatient clinics and senior managers as needed.
Requirements:
- Proven experience in a similar administrative or managerial role.
- Strong proficiency in Microsoft Excel.
- Experience with Microstrategy or similar data analysis tools.
- Excellent organisational and time management skills.
- Strong communication and interpersonal skills.
- Ability to work independently and as part of a team.
