This is a Part-time role, 22.5 hours per week, working 7.5 hours on Monday, Tuesday, and Wednesday.

This is a hybrid role which means you will perform your duties across more than one location, currently this is predominantly home working. You will be required to attend events or travel to other bases or locations as agreed and deemed necessary. You will be assigned a contractual base location at one of NHSBT’s main centres closest to your home address. The specific base location will be confirmed after the final interview and mutually agreed upon with the line manager.

Job Summary

You will be working directly to support the department in this key role for a within NHSBT.

Your previous knowledge, skills and expertise will enable you to work independently to exercise your initiative and discretion in developing the role and the support to the department lead and our key internal and external stakeholders across the NHS.

Working within the directorate, you’ll have the opportunity to engage with a diverse range of people to drive performance.

With a focus on building capability, they’ll be plenty of opportunities to develop your skills and receive coaching from the department lead and wider team.

Using your organisational skills, you’ll make sure that NHSBT is an inclusive place to work for others.

Main duties of the job

Responsibilities

In this very important role, you will support the Department and Team to ensure the Department/Directorate functions efficiently. Your responsibilities will include:

  • To provide comprehensive personal assistant service and administrative support to the Manager.
  • To provide a comprehensive administrative service, acting as a central source of communication between the Manager and Senior Managers in the Directorate and other Directorates and with agencies/contacts external to the organisation.
  • To ensure the smooth running of the Manager’s office and the timely prioritisation of all administrative duties.
  • To act as a communication channel between the manager, department/team, other departments and external agencies.
  • Expected to cover or deputise for other admin staff as and when appropriate.

You will be required to undertake occasional travel to any NHSBT sites and external venues to meet the requirements of the post (notice will be given).

About You

Experience and Knowledge

  • Experienced in running bring forward systems and chasing progress on actions.
  • Experience of working in a busy office environment, using office equipment, handling conflicting deadlines and priorities
  • Experienced in undertaking research and preparing clear and concise reports, analysis, and recommendations from the results.
  • Experienced in producing meeting agendas and minute taking.
  • Proficient in Microsoft Office, including Word, Excel and PowerPoint, MS Teams and SharePoint.

Qualifications And Training

  • Experience in a business administration field equivalent to NVQ L4 OR NVQ L4 (or equivalent) qualification in Business Administration
  • European Computer Driving Licence (ECDL) – Part I & II or ITQ2, or CLAIT II, or OCR (RSA) level 3 in text/word processing or demonstrable work experience
