Assistant Health Records Manager
NHS Ayrshire & Arran
Location: Health Records, University Hospital Wishaw
Working pattern: Monday – Friday 09:00 – 17:00
Role Overview
The day‑to‑day management of a comprehensive, high‑quality patient administration and reception service across a multi‑section department, ensuring a quality service to patients, medical staff and other users of the service. This post has decision‑making responsibility and accountabilities to manage the day‑to‑day operational service delivery for Health Records Services. The role requires the development and maintenance of strong communication links at all levels of the organisation, demonstrating an understanding of other clinical and non‑clinical disciplines.
Key Responsibilities
- Manage the health records service day‑to‑day and oversee service delivery.
- Develop and maintain strong communication links across clinical and non‑clinical disciplines.
- Ensure compliance with national guidelines (Electronic Patient Records, Caldicott, Clinical Governance, Data Protection Act 1998, Access to Health Records Act 1990, Freedom of Information Act 2004).
- Maintain and improve patient administration systems and statistical information.
- Lead and develop a team, prioritise workload and work independently or collaboratively.
Required Qualifications & Experience
- 5 years experience within a Health Records environment, including at least 2 years supervisory experience.
- Specialist knowledge of Health Records, adult qualification or professional diploma (IHRIM) or equivalent.
- Understanding of other disciplines, both clinical and non‑clinical.
- Excellent communication and interpersonal skills.
- Knowledge of current national guidelines and related legislation.
- Experience of patient administration systems and Microsoft Office.
- Experience of building and developing teams.
- UK/EU/EEA driving licence.
