Job Description Salary: Competitive + Benefits Shift: Monday to Thursday 9am to 5pm & Friday 9am to 4.45pm (36 hours per week) Location: Radar Road, Leicester About the role: Reporting to the HR Manager, with a dotted line to the Head of HR, this role will lead the Online HR Services Team. This role manages a team of 2 direct reports providing coordination and administration support to the NEXT Online Team. Working closely with payroll, recruitment, benefits, HRBP’s and compliance, this role plays a critical role in defining the experience of our employees. Delivering exceptional service and support to our employees and people managers with the aim to increase efficiency, service and engagement. What you will be doing: General: Providing day to day leadership and management support to the HR & Employee Services Specialists to deliver an outstanding employee experience. On a day to day basis to ensure the team delivers their daily, weekly and monthly tasks within the required timescales. Ensuring that all processes behind key employee life cycle events (onboarding, benefits, compensation, annual leave, off-boarding, wellbeing) and personal lifecycle events (e.g. time-off, becoming a parent, career breaks) are delivered accurately and on time. Owning and leading the execution of people processes on Oracle to ensure accurate and timely salary payment. Acting as an escalation point between the Payroll team to ensure that onboarding, changes and offboarding inputs are provided and documented in compliance with the payroll deadlines. Motivating the Team to deliver exceptional customer service by ensuring processes are executed to the highest standards and quality by the team. Actively taking responsibility for the development of the team to be the subject matter experts for all people process related questions/issues/matters. Supporting continuous HR process improvements to increase effectiveness, efficiency and digitisation; active identification of improvement areas and proactive suggestion of potential adaptations. Regularly reviewing the people operations documentation, ensuring it is continuously updated, understandable, and easily accessible. Identifying opportunities to streamline HR processes and enhance service delivery through automation, technology, and best practices. Preparing regular reports and analytics on HR services metrics, analysing trends and making data-driven recommendations for improvements. Monitoring key performance indicators and service level agreements, taking corrective actions as necessary. Working alongside other business units to share best practices and improve processes. Additional responsibilities: Annual pay review process: Act as a Lead in the delivery of the bi-annual salary process for NEXT Online. Providing systems support to the business and HR Teams, ensuring the accurate completion of the process on a seasonal basis. Taking responsibility for all queries relating to the annual process, providing expert advice in a timely manner. Supporting the production of reporting requirements, inputting data and ensuring their timely completion. Owning and maintaining the salary grids, ensuring they are kept tidy and updated. Producing and managing bulk digital (and sometimes physical) HR documentation as necessary: i.e., salary review letters and notices. HR Admin: Responsibility for HR admin and salary processing for confidential HR cost centres. Acting with utmost confidentiality and discretion when dealing with these matters. Providing administrative support for the Head of HR. What you will need to succeed: Excellent communication skills (both written and verbal) Strong multitasking and analytical skills Excellent attention to detail with proof-reading skills Strong technical and systems skills - ideally competent in Oracle, G-Suite, Snowdrop, Crystal, Experian, and able to make technical recommendations to colleagues Previous experience in providing excellent customer service, over the telephone, email, and in person Enthusiastic team player with confidence and adaptability to different audiences Ability to plan and prioritize work to meet deadlines Numerate with good Google and Microsoft software skills Sound judgement and initiative, responsible problem-solving Flexible approach to work demands and hours Integrity and confidentiality Extensive HR coordination and recruitment experience Leadership qualities to influence and motivate others Proactive sharing of best practices within teams What\'s Next?
