We’re working with a leading insurance brokerage based in the City of London who are looking for a Team Assistant to join their friendly and high-performing Specialty team. This is a busy, varied role where no two days are the same. You’ll be supporting three senior executives and working closely with another Team Assistant to make sure everything runs smoothly behind the scenes. It’s a great opportunity for someone who enjoys being at the heart of a team, juggling priorities and keeping things organised.

What you’ll be doing:

  • Supporting the Senior Business Assistant with the day-to-day running of the office
  • Processing expense claims for senior directors, including scanning receipts and inputting data
  • Coordinating diaries and scheduling meetings
  • Organising lunch and dinner reservations when needed
  • Arranging all aspects of travel, including flights, accommodation, visas/entry requirements and foreign currency
  • Preparing clear, detailed travel itineraries
  • Uploading, maintaining and archiving documents on internal systems
  • Preparing trip reports and keeping travel records up to date
  • Helping to organise client events in the UK and overseas
  • Preparing materials and itineraries for client meetings
  • Acting as a point of contact between the broking team and marketing
  • Pitching in with ad hoc administrative support when required

What we’re looking for:

  • Strong Microsoft Office skills, particularly PowerPoint and Excel
  • Someone who is naturally organised and enjoys managing multiple tasks
  • Excellent attention to detail and a professional approach to confidentiality
  • Educated to A-level standard, with a strong command of written English
  • Confident communicator who can work with people at all levels
  • Calm under pressure, with the ability to prioritise in a fast-paced environment
