Role Purpose
As our Junior PA, you will provide comprehensive, high-level support to the Director in a confidential, efficient, and highly organised manner. You will be the engine behind the Director's daily operations, ensuring their schedule is seamless and their priorities are met. Beyond dedicated executive support, you will act as a versatile team player, stepping in to support the wider company in various capacities as required.
Role Responsibilities
- Diary & Meeting Management
Provide expert diary management for the Director, highlighting approaching key dates and allocating time for preparation. Arrange internal and external meetings with suppliers and partners, managing room bookings, agendas, travel arrangements, and catering. Prepare meeting agendas points in preparation of upcoming meetings. Coordinate with other PAs across the business to align schedules and maximise time efficiency. Prepare and circulate appropriate documentation and minutes prior to and following meetings. Ensure the Director is available for meetings on time and manage attendee expectations if schedules overrun. - Technical Administration & Content Support
Provide documentation support, including writing up and updating content for presentations. Manage both paper and digital filing systems and filter incoming phone calls. Collate information from the team to respond to NEXT Head Office enquiries. Complete ad-hoc projects for the Director and the wider team as required. Update travel policy on the internal intranet. - Team & Operational Coordination
Prepare induction programmes for new starters joining the team. Consolidate expenses and invoices for authorisation, following through on all system requests. Maintain team calendars, department room bookings, and organise department events. Manage work space planning to ensure the team area is fit for purpose and future-proofed. Manage travel across Buying, Merchandising and Design - liaising with Buyers and Managers, flight and hotel bookings, restaurant bookings, visas/passport renewals, travel budget including management of all air mile accounts and hotel corporate rates. Ensure meeting rooms and any IT equipment & refreshments are arranged and in working order.
