About the role
As Workspace Coordinator, you will facilitate and support the day-to-day operations of our Premier Park Studios.
You will ensure the smooth and efficient running of office facilities, management, and Health & Safety requirements.
Your goal is to create a positive employee experience while maintaining a professional and welcoming environment for all visitors and staff.
- Role Responsibilities
- Workspace
- Act as a designated keyholder, taking responsibility for the secure opening and closing of the unit in line with company procedures.
- Manage the front desk, providing a welcoming and professional experience for all visitors.
- Ensure the studio, communal areas, and meeting rooms are maintained to a high standard and remain clean and tidy.
- Liaise with NEXT Facilities to log maintenance requests, coordinate contractors, and ensure issues are resolved promptly
- Coordinate new starter requirements with recruitment, including workspace setup and studio inductions.
- Manage studio expenses, invoices, budget tracking, and purchase orders
- Complete daily AM and PM studio checks, ensuring communal areas and meeting rooms are clean, tidy, fully stocked, and maintained to a high standard.
- Book couriers and taxis as required
- Coordinate studio catering requests
- Manage and distribute weekly fruit and milk orders
- Receive, sort, and distribute incoming post, parcels, and deliveries.
- Manage stationery and office consumables, ensuring stock levels are maintained and replenished.
- Manage relationships with cleaning and waste management providers to maintain high standards and ensure regular collections.
- Support the coordination and delivery of space management requests, communicating effectively with stakeholders throughout the process.
- Health & Safety
- Conduct weekly workplace health and safety inspections, identifying and addressing potential hazards.
- Carry out and document the weekly fire alarm test, ensuring any issues are reported and escalated promptly.
- Ensure all first aid boxes are fully stocked and regularly maintained.
- Investigate, record, and report health and safety incidents, ensuring appropriate corrective actions are implemented.
- Maintain appropriate levels of trained Fire Wardens and First Aiders in line with employee numbers, coordinating all required training and certification.
- Deliver six monthly refresher sessions for Fire Wardens and First Aiders at the studio.
- Ensure employee allergies and workplace adjustments are recorded and accounted for.
- Complete and maintain individual risk assessments as required.
- Events
- Maintain and manage the events tracker and annual events calendar.
- Support the planning of seasonal office decorations, including research and vision boards.
- Assist with the planning, coordination, and delivery of internal activations, events, and employee engagement initiatives.
- Manage the events noticeboard and maintain internal communications relating to events, activities, and employee benefits.
- Coordinate employee recognition programmes and soft benefits, including long service awards, birthdays, marriages, and other milestone celebrations, ensuring associated gifts are organised and distributed.
- Design engaging events and internal communications content using Canva.

- Good verbal and written communication skills with a professional tone
- Good competency in standard computer applications
