Job Purpose:

To support the effective administration of contingent workforce engagements across their lifecycle. The role focuses on ensuring contractor onboarding, documentation and engagement processes are completed accurately, on time, and in line with defined procedures.

Key Responsibilities

  • Support the administration of the contingent workforce lifecycle, including onboarding, engagement changes and offboarding activities, tracking documentation, compliance requirements and mobilisation readiness throughout the process.
  • Coordinate the setup of contractor engagements, ensuring required contractual, onboarding and compliance documentation is issued, collected and recorded in line with internal processes.
  • Maintain contractor records, including Master Services Agreements, Assignment Schedules and supporting compliance documentation.
  • Track key engagement activities including start dates, end dates, extensions and amendments, ensuring relevant actions are initiated in a timely manner.
  • Support the initiation and administration of IR35 determinations by issuing assessment questionnaires, coordinating completion by hiring managers, and facilitating submission to PSCs for input. Hiring managers retain full ownership of all assessment inputs, with final SDS review and approval residing with the Contingent Workforce Governance & Compliance Lead.
  • Monitor workflow queues or systems to ensure engagement requests and updates are progressed and completed.
  • Escalate missing information, delays or potential issues to senior team members where required.
  • Assist with reporting and tracking of contractor data to support visibility of workforce activity.
  • Support wider team activities, including process improvements and administrative tasks as required.

Skills & Qualifications

Essential:

  • Experience in an administrative or coordination role, ideally supporting contractor, recruitment or workforce processes.
  • Strong organisational skills with the ability to manage multiple tasks and deadlines.
  • High attention to detail, particularly in relation to documentation and data accuracy.
  • Good communication skills, with the ability to interact with internal stakeholders and external contractors.
  • Ability to follow defined processes and ensure consistent application of procedures.
  • Competent in Microsoft Office and general business systems.

Desirable:

  • Exposure to contractor or contingent workforce processes.
  • Basic awareness of IR35 or contractor engagement models.
  • Experience working with onboarding, HR or compliance systems.
