Facilitating operational daily activities within the Resourcing Hub offshore team by providing high quality administrative and coordination support.
Key Responsibilities:
- Liaising with offshore/onshore/office personnel confirming check-in details, booking hotels, arranging PPE, arranging inductions and any other travel arrangements, as required.
- Ensuring Fusion application is updated with correct job details for sending to personnel to accept their job as part of the mobilisation requirements.
- Liaising with client aviation ensuring seat bookings is accurate, notification of changes and processing of check in information.
- Maintaining Onboard Tracker system to provide accurate reporting of current mobilised POB.
- Managing stock PPE levels for distribution.
- Raising of hotel and travel provider PO’s, checking and processing of related invoices for finance.
- Face fitting and eye fitting of offshore personnel ensuring accurate certification in place.
- Liaising with human resources team and recruitment, ensuring full alignment through onboarding process.
- Assigning training courses as per company and client training matrix.
- Proactively interfacing with onshore Client Aviation & Construction Team to ensure full awareness of all movements of offshore personnel.
- Attending meetings as and where required.
- Participating with on-call out of hours rota.
Skills & Qualifications:
- Essential: Previous administrative experience in a busy, operational environment.
- Good working knowledge of Microsoft Office suite (Word, Excel, PowerPoint, etc.).
- Excellent attention to detail, diligence and self-discipline.

Work Environment/Conditions:
- Office: Determined by assigned project/contract. May require travel to other Aberdeen facilities to support business operations.
