We are looking for a new Patient Administrator and Stock Coordinator to join our new clinic in Welwyn Garden. This is a 10-month, maternity cover fixed term contract role and will be 40 hours over 5 days per week, including some weekends on a rota basis. We could however consider a part time contract.
This role involves carrying out different administrative duties such as booking patients into their appointments, making and answering phone calls, sending and replying to emails, managing the post and sending letters or dealing with enquiries. Our clinics are busy so we’re looking for someone who loves working in a fast-paced environment where every day is different.
From a stock management perspective, this role will ensure that the service maintains the right level of clinical & non-clinical stock by working closely with the clinical and operational teams. The role holder will liaise with the clinical teams regarding tasks including ordering of consumables, chasing late orders, stock rotation, maintaining stock levels and monthly stock audits. We envisage that approximately half of the week will be devoted to patient admin duties and half of the week towards stock control activity.
We need someone who is incredibly customer focussed and enjoys meeting and talking to people – the thought of eye surgery can be a daunting prospect for patients to deal with, so all our team members need to be empathetic and friendly and able to put patients at ease. It’s a broad administrative role that will require high levels of attention to detail and the ability to build strong working relationships with a variety of colleagues and external stakeholders.
What skills and experience do I need?
- Experience in a healthcare setting
- Previous experience in a customer or patient facing role
- Previous experience of stock management and purchasing in previous roles, with an understanding of good practice principles
- Ability to juggle priorities and work under own initiative
- Experience in a busy administrative role
- A competent user of all Office 365 programmes
- Tech savvy and comfortable working on new systems e.g. patient record systems
- A good phone manner
- An excellent grasp of the English language both verbally and in written format
- A good team player – happy to jump in and support others when needed
