We are looking for a new Administrative Operations Manager to join our Whiteley site. This will be 37.5 hours over 5 days per week, including weekends on a rota basis. We would also consider part-time hours (minimum of 32) over 4 days for this role as well. Please let us know in the recruitment process if this is what you'd be interested in.

The Administrative Operations Manager supports with the local service operations on a day-to-day basis by ensuring that all administration processes are efficient, accurate and fit for purpose. The key objective is to ensure that the team provides the highest quality of patient care and to contribute to the company’s capacity for rapid growth. The Administrative Operations Manager will have the opportunity to shape and motivate admin and business processes to enhance clinic performance to achieve set targets and to deliver outstanding results.

You'll ensure that patient confidentiality is always maintained in all verbal and written communication, and you’ll have a full understanding of patient pathways and the appointment processes to make sure the patient journey is a smooth one. You'll also have oversight of areas such as team rotas, organising marketing collateral, attending meetings, coordinating event organisation, training new starters, maintaining databases – it's a really varied role so we’re looking for someone who loves working in a fast-paced environment where every day is different.

We also need someone who is incredibly customer focused and enjoys meeting and talking to people – the thought of eye surgery can be a daunting prospect for patients to deal with, so all our team members need to be empathetic and friendly and able to put patients at ease.

We’re looking for someone with previous administrative experience, ideally in a supervisory capacity. And ideally, you’ll have worked in a healthcare environment before, but this is not essential. We’ll provide full training on things like our systems and processes, but the following elements will be advantageous:

  • Awareness / understanding of the CQC regulatory standards
  • Ability to multitask and prioritise own work without supervision
  • Experience of implementing process improvement
  • A competent user of all Office 365 programmes
  • Tech savvy and comfortable working on new systems e.g. patient record systems
  • A good phone manner
  • An excellent grasp of the English language both verbally and in written format
  • A good team player – happy to jump in and support others when required
