Our client, a dynamic and fast-growing Events company, is looking for a highly organised and proactive Speaker Logistics Assistant to support their content team in delivering top-tier speaker experiences for flagship in-person events and virtual Retail Meetup programs. This temporary role is perfect for someone who thrives on coordination, clear communication, and attention to detail - ensuring every speaker interaction is seamless from onboarding to live delivery.

Key Responsibilities

  • Support the Senior Speaker Logistics Manager in day-to-day speaker coordination
  • Onboard speakers by collecting bios, headshots, and contact details
  • Maintain a well-organised, up-to-date database of all speaker information
  • Communicate with speakers via email and phone in a professional, timely manner
  • Create and manage data merges to support speaker communications and marketing
  • Act as the primary point of contact for speakers, supporting show flows and logistics
  • Liaise with third-party providers (e.g., A/V teams) to ensure smooth event execution
  • Make regular edits and updates to the event website
  • Maintain accurate speaker and agenda information across the show app
  • Ensure consistency and accuracy of speaker details across all platforms and documentation
  • Coordinate with an in-house artist to produce custom speaker caricatures
  • Assist with speaker registration and manage speaker enquiries
  • Perform general admin, auditing, and other duties as needed

Your Experience & Skills

  • Experience in speaker logistics, event coordination, or a related administrative role
  • Confident in working with senior-level stakeholders (VP, C-suite)
  • Strong understanding of conference content and agenda structures
  • Exceptional attention to detail and organisational skills
  • Proactive, reliable, and able to manage multiple tasks independently
