Office Administrator / Executive Assistant

Location: London (Hybrid)

We're seeking an experienced Office Administrator / Executive Assistant to provide proactive day-to-day administration support to the team in the London office, alongside supporting the CEO and senior managers.

It combines executive support, stakeholder coordination, meeting and travel management, and oversight of day-to-day office administration. The successful candidate will be organised, discreet and comfortable taking ownership of a broad range of responsibilities in a small, busy team.

The role will work with a high degree of autonomy, using sound judgement to manage priorities and make day-to-day decisions independently, while escalating sensitive or significant matters where appropriate. Previous experience in an executive support or office administration role is required. Experience within the London insurance market would be particularly helpful.

Executive support and stakeholder coordination

  • Enable the CEO and senior managers to focus on their priorities through proactive diary management, correspondence, coordination and dependable day-to-day administrative support
  • Build effective working relationships with Clear Group colleagues and coordinate meetings, diaries and administrative matters promptly and professionally

Meeting, travel and business support

  • Ensure internal meetings are well organised, with appropriate supporting information and clear notes and actions where required
  • Coordinate accurate and efficient travel and accommodation arrangements for business trips
  • Prepare clear itineraries for business travel and visits to London by clients and trading partners
  • Coordinate restaurant and hospitality arrangements to support meetings, client visits and business activity
  • Support senior managers with the accurate and timely preparation and submission of expenses

Office administration and operations

  • Support the smooth and professional operation of the London office, including stationery, supplies and wider day-to-day administrative requirements
  • Maintain accurate company information, structure charts and other internal business records
  • Coordinate internal communications and appropriate company updates, including management of NPP’s LinkedIn account
  • Maintain effective day-to-day relationships with office suppliers and ensure related invoices are processed appropriately
  • Support compliance and business administration requirements, including the completion of KYC and due diligence forms received from trading partners
  • Take ownership of wider administrative matters as required, using initiative and judgement to resolve routine issues independently

What success looks like

  • The CEO and senior managers are able to focus on strategic and business priorities because executive support is proactive, reliable and well organised
  • The London office operates efficiently and professionally, with day-to-day administrative requirements managed effectively
  • Internal and external stakeholders, including Clear Group colleagues, clients, trading partners and suppliers, receive a responsive and professional service
  • Meetings, travel arrangements, client visits and administrative processes are coordinated accurately and support the smooth running of the business
  • Company records, supplier matters, invoices, KYC requests and other business information are maintained accurately and within required timescales

What you’ll bring

  • Previous experience as an Executive Assistant, Personal Assistant or senior administrator
  • Experience within the London insurance market would be an advantage
  • A clear interest in developing a long-term career in executive support and office administration
  • Strong organisational skills, sound judgement and close attention to detail
  • Clear and professional written and verbal communication
  • The confidence and professionalism to build effective relationships with the CEO, senior managers, Clear Group colleagues, clients, trading partners and suppliers
  • Discretion when handling confidential or commercially sensitive information
  • A good working knowledge of Microsoft Office and the ability to learn new systems
  • A practical, flexible and proactive approach, with the ability to work autonomously, take ownership and make sound day-to-day decisions
  • Experience of KYC documentation or company social media would be helpful but is not essential
