The Role

You will be working to support the Research and Innovation team, providing a comprehensive administrative service, delivering support for financial processes and events organisation, in liaison with colleagues in the schools, faculty office and wider university as well as external stakeholders.

You will support a number of projects within the HaSS Faculty Research team, including the administration of the ESRC Impact Accelerator Account (IAA), the AHRC ‘Green Corridors’ award and the work of the HaSS Research Institutes, including Faculty Research Groups and Newcastle University Centres of Research Excellence (NUCoREs). This will involve administering internal funding calls, setting up accounts for successful projects, monitoring and reporting on progress

The Faculty of Humanities and Social Sciences (HaSS) is an exciting, multi-disciplinary faculty, structured around ten academic schools covering subjects ranging from the arts (eg fine art and music) across the humanities (eg history and english) to the social sciences (eg law and economics). The Faculty has c 700 academic and research staff and c230 support staff across its range of disciplinary areas. It has a significant and diverse student population.

Working in a friendly office on our Newcastle city centre campus, this is a full-time role, working 37 hours per week (with flexible working of up to 50% working from home). The post is fixed term until 30 April 2028.

Key Accountabilities

  • Using principles and approaches of continuous improvement, lead the administration of for the ESRC IAA, the AHRC ‘Green Corridors’ award and the work of the HaSS Research Institutes (‘the Projects’).
  • Initiate advertising for the various internal funding calls associated with the Projects, receiving and collating applications and circulating to panel members. Supporting the funding panels, notifying the outcomes to applicants and setting up accounts as appropriate.
  • Produce reports from SAP and Business Warehouse and provide/receive the necessary information in liaison with the schools and management accounts in relation to all internal projects in order to monitor spend and ensure projects are delivered on budget. Maintain the master spreadsheet of awards and spend for each of the Projects, gathering data from multiple sources, extracting data and ensuring integrity of data.
  • Support committees and meetings for the Projects, including organising dates, booking rooms and catering, drafting agendas, circulating papers and taking minutes.
  • Support internal and external events related to the Projects, liaising with external stakeholders as required.
  • Maintain the website with information on calls, events and activities, including blogs and twitter feeds as appropriate.
  • Make travel arrangements and other purchases where required and in line with the University financial regulations.
  • Maintain mailing lists for effective communication with key groups of colleagues.
  • Share duties with the faculty research team to support the smooth functioning of the office, including providing cover during holidays and absences.
  • Undertake any other duties appropriate to the grade as requested by the Head of Faculty Research.

Knowledge, Skills and Experience

  • Strong interpersonal skills required to communicate both in person and in writing.
  • Excellent planning and organisational skills.
  • Able to work as part of a team, developing close and effective working relationships with internal and external colleagues.
  • Proven ability to adopt an active approach to problem solving.
  • Numerate, with good IT skills and able to manipulate and analyse information for management use.
  • Ability to complete complex tasks to tight deadlines.
  • Experience of working with senior managers in a large organisation.
  • Proven experience of establishing, reviewing and monitoring administrative and operational systems in a support environment.
  • Experience of managing a broad range of issues and juggling conflicting priorities.
  • A proactive and customer focused approach.

Qualifications

  • Grades A-C in English Language and Mathematics GCSE (or equivalent) or vocational qualifications, plus work experience in a relevant role; or Substantial relevant work experience in a comparable setting.
