We have an exciting opportunity to join Newcastle Building Society as an Executive Coordinator, supporting a number of Executives with high‑level, proactive PA support to ensure they can perform their roles effectively. This is a highly visible and trusted role, requiring exceptional organisation, professionalism, and discretion. You will work with flexibility and sound judgement to manage competing priorities, maintain strict confidentiality, and ensure seamless executive support. With a strong focus on efficiency and detail, you will put robust processes in place for diary, document, and email management, enabling the Executive team to operate at their best.
Key responsibilities:
- Act as the primary point of contact between your Executives and key internal and external stakeholders.
- Provide high‑quality scheduling, diary, and email management, ensuring priorities are managed effectively.
- Support the preparation and circulation of agendas and meeting packs, as well as minute‑taking and action tracking as required.
- Manage and triage day‑to‑day queries from multiple sources, prioritising urgent requests and identifying appropriate solutions.
- Plan and arrange travel, accommodation, events, and meeting venues in line with business priorities.
- Process expenses accurately in accordance with internal policies.
- Represent the Society’s values and behaviours in all aspects of the role.
- Proactively identify and implement opportunities to improve efficiency and service delivery.
This requires a minimum of 3 days on site (Cobalt Business Park), with travel to branch locations on occasion.
About you:
You will be a highly effective communicator, confident engaging with internal and external senior stakeholders at all levels and adept at building resilient and trusting professional working relationships. You thrive in a fast‑paced environment and are comfortable working under pressure and to tight deadlines, using sound judgement to take calm, accurate action and resolve issues effectively. You are confident navigating multiple systems and programmes and can present information clearly, professionally, and with attention to detail. A strong team player, you will work collaboratively within an Executive Support team to ensure the needs of the senior management team are fully met. You will have proven experience in senior stakeholder management, ideally within a financial services or regulated environment.
