Job Purpose
The Office & Culture Coordinator plays a key role in creating an engaging, well-organised and welcoming workplace that supports New West End Company's culture and day-to-day operations.
Reporting to the People & Culture Manager, the role is responsible for the smooth running of the office environment, coordinating employee engagement initiatives, supporting People & Culture activities and helping to deliver an exceptional employee experience throughout the employee lifecycle. The postholder will also provide administrative support across office operations, facilities, wellbeing, internal events, onboarding and wider organisational projects, ensuring colleagues have the tools, resources and support they need to perform at their best.
This is a varied, people-focused role requiring excellent organisation, initiative and attention to detail, with the ability to build positive relationships across the business and contribute to a collaborative, high-performing culture.
Key Responsibilities
Office & Administration
- Oversee the day-to-day management of the office, ensuring a well-maintained, efficient, and welcoming workspace.
- Act as the first point of contact for visitors, manage meeting room setups, and oversee courier and postal services.
- Manage IT operations, troubleshooting issues and liaising with IT support when necessary.
- Maintain office supplies, snacks, and coffee stock levels, ensuring a fully equipped and functional office.
- Handle incoming phone calls, ensuring courteous and effective communication.
- Manage monthly expense processes, including filing expenses and processing invoices.
- Coordinate office cleaning and maintenance contracts to ensure a high standard of workplace hygiene and functionality.
- Monitor the general email inbox and ensure queries are directed appropriately.
- Liaise with property management on building-related issues.
- Oversee office budget management, tracking expenditures and ensuring cost-effective solutions.
People & Culture
- Introduce initiatives that strengthen company culture and team engagement, promoting a positive and collaborative work environment.
- Support the People & Culture Manager in organising team social events, including the summer social and Christmas party.
- Host monthly Wrap-Up breakfasts alongside the People & Culture Manager to foster internal communication and engagement.
- Assist in creating and managing a cultural activities calendar, ensuring diverse and engaging workplace initiatives.
- Lead onboarding for new starters, ensuring IT, resources, and training are set up effectively.
- Collaborate with the People & Culture Manager on learning & development initiatives within the office.
- Continuously suggest improvements to enhance the office environment and employee experience.
Health & Safety Management
- Regularly review and maintain Health & Safety policies and procedures, ensuring compliance with legal requirements.
- Conduct risk assessments, identifying and addressing potential hazards in the workplace.
- Ensure the company meets all legal obligations regarding fire safety, health & safety, and other relevant regulations.
- Act as a First Aider & Fire Warden for the office (training will be provided).
Requirements
- Proactive, organised, and detail-oriented with the ability to multitask and prioritise.
- Excellent communicator, able to collaborate effectively across all levels.
- Passion for creating a productive and positive office environment, aligned with company culture.
- Previous office management or admin experience preferred.
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Experience managing supplies, budgets, and vendor relationships.
- Knowledge of Health & Safety policies, with willingness to train as First Aider and Fire Warden.
- Event coordination experience for team and office activities.
- Discreet and professional, with the ability to handle confidential information.
- Tech-savvy with problem-solving skills for IT and operational issues.
