THE ROLE: The Senior Property Maintenance Manager role will be responsible for delivering the Strategy & providing delivery of a wellâmaintained retail environment for customers and colleagues in our retail estate. Leading the key frontâline, customer focused Maintenance Management, Estate, along with Field and Help Desk teams to support Retail for an estate of c.310 stores across UK & ROI to achieve NL's strategic plans and objectives. This role is field based with national travel and frequent Support Centre visits.
WHAT YOU'LL BE DOING:
- Ensure NL stores are maintained to the highest property standards and manage the execution of works and services to ensure compliance with statutory and brand standards, core operating procedures and customers' expectations of the Brand are met.
- Ensure NL's commitment to ESG by ensuring energy and CO2 reducing targets are achieved and develop initiatives to minimise wastage and maximise sustainable processes and put in place through all Estate Operations.
- Build, Develop and set the Teams and individual plans and objectives to ensure they meet and are inâline and in accordance with the wider Property Team Objectives.
- Managing a Revenue, Capital expenditure budgets for the property portfolio annually of cÂŁ10m across various workstreams and disciplines.
- Drive a H&S first culture throughout the lifecycle of occupation ensuring all necessary reporting and planning in place (CDM Regulations).
- Ability to drive strategy and project timelines to complete projects on schedule and on budget, ensuring partners are motivated to meet deadlines.
- Ensure partners provide exceptional customer service to stores and the business through consistently good quality workmanship, ensuring the right fix is delivered on time, every time using a joinedâup process through the Field and Helpdesk based Teams.
- Undertake regular Supply chain and partner reviews, including scope development, implementation, tendering, evaluation, negotiation and final award of FM / Estate Management together with the Property Procurement Partner.
- Attend strategic meetings including Green Book and support and deputise for the Head of Property as required.
ACCOUNTABLE FOR & MANAGE REQUISITE INTERNAL WORKSTREAMS:
- Arrange regular meetings / calls with the various Property Estates Teams to ensure that all issues are addressed in an efficient manner and key priorities and tasks are managed collaboratively.
- Implement a store visit regime on a structured, scheduled basis to identify issues and evaluate store needs/requirements together with the Property Managers and Retail Teams.
- Ensure that store audits and condition surveys are carried out to ensure visibility of issues as well as identifying property risks eg dilapidations, notices of repair etc, ASB.
- Monitor and review works/repairs process to ensure they are logged accurately by the Helpdesk Agents and to ensure consistent quality and workmanship repairs are completed within SLA, scope and budget and there is resilience on a 24/7 basis.
- Prepare investment plans for major asset replacement programmes in conjunction with the Technical Services Manager, Compliance and Projects/Design Teams.
- Addressing ad hoc correspondence as required and dealing with statutory and landlord repair notices that are received.
- Develop a reporting suite of KPI's to monitor performance and of FM partners, Managing Agents and Specialist Consultants to demonstrate and achieve the required Service Level Agreements and standards are being achieved.
- Hold regular performance review meetings and ensure targets are being achieved within the required SLA's and targets.
- Accountable for & manage Cost & Financial controls; develop, monitor and implement Reactive & Capital maintenance, Estate programs to ensure the optimum use of NL's budgets and resources.
- Forecasting of capital, revenue and Energy annual and 5 Year spend plans and initiate cost savings and explore opportunities of high payoff schemes to reduce maintenance and revenue expenditure.
- Regular Expenditure (monthly, quarterly, annually) reviews together with Cost Reporting.
- Preparing and reviewing business cases and capex papers for signâoff for Invesco.
WHO YOU ARE:
- Highly skilled and knowledgeable Maintenance and Building Services professional.
- Participate in the Onâcall Property Managers rota and to be able to respond and support the out of hours emergency help desk and stores by intervening and being decisive when trade critical situation occur. 1 week in 4.
- Work with Design and Project Teams to ensure that the optimum specification is delivered to produce a highâquality environment, whilst ensuring maintenance and defects are minimised throughout the life cycle of the store by continuous improvement and feedback.
- Ensure all maintenance works are commissioned and undertaken in accordance with the current Health and Safety legislation including CDM & Control of Asbestos Regulations, and assist with NL's Asbestos Management Policy.
- Develop asset replacement programmes based on condition surveys and life cycle costs based on 5 year Plans and write / present Business Cases for Investco / Board for project / programme approval for major investment.
- 8/10 years' previous experience of working in a multiâsite, retail / high street environment in a similar managerial role.
