The Regional Maintenance Manager will primarily be responsible for the delivery of a well-maintained and compliant environment for customers and staff in store within a region within a national estate of c.300 stores across UK & ROI; provide a customer focused Facilities Management service for the existing estate focusing on reactive maintenance and managing minor works projects to primary assets.

What You’ll Be Doing:

  • Developing and implementing a reactive maintenance and preventative maintenance programme within budgetary and financial constraints including:
    • Expenditure (monthly, quarterly, annually) as agreed with your line manager
    • Cost checking works and quotations and ensuring that value for money is being obtained
    • Forecasting capital and revenue spend and input and feedback on spend at budget and cost control reviews
    • Employing a proactive approach to identifying potential risks and onerous expenditure.
    • Check, validate and authorise individual repairs and quotes up to a value of £10,000
    • Preparing capex papers for sign off for major repairs and projects that exceed £10,000
    • Actively exploring ways to deliver cost savings within the available resources and whilst still achieving the required standards of service
    • Knowledge and ability to interpret leases and landlord and tenant repair obligations
    • Maximise revenue by supporting retail operations by minimising any trade affecting closure incidents and ensuring stores resume trading as quickly as possible
  • Managing Contractors:
    • To manage external contractors and partners to ensure that stores are maintained to Brand standards and works are executed expeditiously and within cost and quality parameters.
    • Build trust and create partnerships with all internal and external business partners.
    • Hold regular contractor performance review meetings and ensure targets are being achieved within the required SLA’s.
    • Ability to drive strategy and project timelines to complete projects on schedule and on budget, ensuring contractors are motivated to meet deadlines.
    • Ensure contractors provide exceptional customer service to stores and the business through consistently good quality workmanship, ensuring the right fix is delivered on time, every time.
    • Have the ability to plan and manage multiple projects of varying scopes concurrently.
    • Adopt an ongoing monitoring and assessment of contractors and their levels of service.
    • Identify standard and complex maintenance issues and accurately diagnose and resolve the same.
    • Ensure Contractors comply with New Looks Asbestos, Code of Conduct and Health and Safety Policy and Procedures.
  • Identifying Requisite Works:
    • Ensure New Look stores are maintained to the highest property standards and manage the execution of works to ensure compliance with statutory/legal requirements, H&S regulations, Brand standards, core operating procedures and customers’ expectations of the Brand are met.
    • Visit stores throughout on a scheduled basis to identify issues and evaluate store needs/requirements together with the assistance of the Senior Maintenance Manager.
    • Compile comprehensive Maintenance Audits/condition surveys as required to ensure periodic visibility of issues as well as a long-term view around potential risk e.g. dilapidations, notices of repair etc.
    • Monitor and review works undertaken to ensure consistent quality and workmanship.
    • Understand the obligations in the lease etc and the implications on works required.
    • Identify standard and complex maintenance issues and accurately diagnose and resolve the same.
    • Ensure all maintenance works are commissioned and undertaken in accordance with the current Health and Safety legislation including RAAC, Control of Asbestos at Work, CDM Regulations.
  • Administration:
    • Liaise with & address issues raised from Retail and Health & Safety.
    • Addressing ad hoc correspondence as required.
    • Preparing & assist with plans, contracts, budgets and other documentation as required.
    • Managing a Revenue and Capital expenditure budgets for the property portfolio of c.£10m across various contractors and disciplines, including New Look’s annual HVAC upgrade programme and other major projects initiated by business requirements.
    • Addressing ad hoc correspondence as required and dealing with statutory and landlord repair notices that are received.

Who You Are:

  • 2-3 years’ previous experience of working in a retail environment in a similar role.
  • Demonstrate understanding of building principles, technical ability and a technical understanding of - Building fabric, HVAC, electrical, plumbing etc.
  • Manage emergency incidents arising from leaks, storms, electrical failure and co-ordinating any follow on works.
  • Understanding & working knowledge of MS Office & New Looks CAFM and Compliance systems HEAT & VisionPro Software & usage of New Looks V-Tag asbestos register.
  • Understanding of BMS systems and electrical related systems to ensure optimum energy usage and supporting the Energy Team in relation to store issues.
