Direct Reports: Allocators + Operations Administrator Intern

Location: Hybrid – 3 days office / 2 days WFH; regular travel to Bradford warehouse

Role Overview

The Operations Supervisor- Wholesale is responsible for overseeing the day-to-day execution of wholesale operations, ensuring inbound, allocation, and outbound activities are delivered accurately, on time, and in line with agreed priorities. The position is focused on execution, control, and operational excellence, supporting plans defined by the Wholesale Operations Manager, rather than owning strategic planning.

Key Responsibilities

  • Operations & Execution: Act as the primary day-to-day contact for the warehouse (Torque)
    • Track shipments, monitor ETAs, and proactively resolve delays/issues
    • Ensure accurate and timely processing of stock movements in SAP
    • Liaise with the Supply Chain Manager on inbound updates and risks
    • Coordinate and deliver seasonal shipping and allocation execution
  • Allocations Management:
    • Manage the end-to-end allocation process from the UK warehouse
    • Directly manage key account allocations where required
    • Act as first escalation point for allocation, SAP, and customer issues
    • Ensure adherence to allocation priorities, rules, and SLAs
    • Oversee:
      • Stock reversals
      • Returns management
      • Discrepancy resolution
      • Monitor picking accuracy and provide structured feedback to warehouse partners
  • Off-Price & Special Orders:
    • Delegate approved off-price and SMU orders to the team
    • Ensure timelines and execution accuracy are delivered
    • Support inbound tracking for off-price orders where required (Strategic ownership remains with the Supply Chain Manager)
  • People & Team Supervision:
    • Provide day-to-day leadership and support to Allocators and Ops Admin
    • Run daily operational check-ins to manage priorities and workloads
    • Identify skill gaps and deliver hands-on training and coaching
    • Ensure clear understanding of roles, KPIs, and expectations
    • Support development of SOPs, training materials, and operational manuals
    • Foster strong cross-functional relationships (warehouse, supply chain, commercial teams)
  • Reporting & Systems:
    • Maintain and enhance allocation and operational reporting
    • Capture and communicate:
      • Risks
      • Exceptions
      • Execution failures
    • Drive continuous improvement of allocation processes
    • Manage EPR Waste Reporting (quarterly and annual requirements)
  • Warehouse Collaboration:
    • Act as first escalation point (post-allocator) for warehouse-related issues
    • Chair weekly alignment meetings with warehouse and allocation teams
    • Own feedback loop on picking accuracy and operational performance

Decision Ownership

  • Daily allocation and execution prioritisation
  • Resolution of standard operational issues
  • Escalation decisions (when to resolve vs escalate upward)
  • Task allocation and workload management within the team

  • Allocation accuracy
  • On-time order execution
  • Picking accuracy and warehouse error rates
  • Issue resolution turnaround time
  • Team SLA adherence and responsiveness

Skills & Experience Requirements

  • Essential Experience:
    • Experience in wholesale, retail operations, or supply chain managing allocation, stock flow, or order fulfilment
    • Strong ability to manage high-volume, time-critical operations
    • Demonstrated supervisory experience
    • Experience working with warehouse operations and 3PL providers
    • Strong working knowledge of ERP systems (SAP preferred)
    • Strong excel, data analysis and reporting experience within supply chain
    • Knowledge of EPR waste compliance requirements
    • Attention to detail with a focus on accuracy and process discipline
    • Ability to identify root causes and implement practical solutions
    • A strong communicator and collaborator who builds effective cross-functional relationships
  • Organisation & Planning:
    • Highly organised with strong time management
    • Ability to manage daily execution while maintaining process control
    • Continuous improvement mindset
