Position: Administrative Assistant
Responsible to: Domiciliary Care & Support Manager
Purpose
To provide an efficient administrative service within budgetary constraints, including all relevant legislation and the policies and procedures of the organisation.
To undertake all office administrative duties, including the coordination of clients' staff schedules as directed by the Domiciliary Care / Support Manager.
Administrative Duties
- Upload data and maintain an Excel database, respond to enquiries, arrange appointments, and process paperwork in line with service and department procedures.
- Update client information and maintain staff and client support schedules.
- Answer incoming phone calls and make outgoing calls as requested.
- Record information on the computer system.
- Maintain the service database records.
- Keep the office filing systems up to date.
- Identify clients' service needs on the rosters and book staff to complete the work.
General Duties
- Attend and minute staff meetings when requested.
- Promote New Leaf Care and its work in the community and in all areas of its operation.
- Communicate clearly with other staff, peers, managers, tenants, customers, and all other agencies and interested parties.
- Represent the organisation at meetings as requested.
- Perform any other duty commensurate with the post as requested.
