About the role

New Herblife Ltd is seeking an organised and experienced Office Manager to oversee the company’s day-to-day administrative operations. The successful candidate will ensure that the office runs efficiently while providing administrative support to senior management and the company’s HR and finance functions.

Key responsibilities

  • Organising internal and external meetings and maintaining company diaries.
  • Managing office databases, administrative records and filing systems.
  • Booking business travel, transport and accommodation.
  • Organising company events, meetings and conferences.
  • Ordering stationery, IT equipment and other office supplies.
  • Managing correspondence and responding to complaints and enquiries.
  • Preparing business letters, presentations, reports and other documents.
  • Supervising and monitoring the work of administrative employees.
  • Processing invoices and maintaining accurate financial records.
  • Monitoring office expenditure and assisting with the management of office budgets.
  • Developing, implementing and maintaining office procedures and administrative systems.
  • Organising induction programmes for new employees.
  • Ensuring that workplace health and safety policies and records remain up to date.
  • Attending meetings with senior management and implementing agreed actions.
  • Maintaining personnel records and supporting general HR administration.
  • Arranging interviews and assisting with the recruitment process and.
  • Updating financial documents and liaising with the company’s accountant where required.

Skills and experience

  • Previous experience in office management or a comparable administrative role.
  • Strong organisational and time-management skills.
  • Excellent written and verbal communication skills.
  • Experience supervising or coordinating administrative staff.
  • Good working knowledge of Microsoft Office and office database systems.
  • The ability to prepare professional correspondence, reports and presentations.
  • Experience handling invoices, budgets or basic financial administration.
  • The ability to manage competing priorities and work with minimal supervision.
  • A professional, reliable and confidential approach to their work.
