We’re partnering with a fast-growing, mission-driven health and wellness brand to help find them an Operations Executive to join their small but rapidly growing team. The company exists to tackle a major nutritional gap in the modern diet by making effective, science-backed health nutrition more accessible and enjoyable. Since launching, the company has achieved significant retail expansion, including nationwide distribution through major UK health and wellness retailers. It’s also rapidly growing in independent health food stores and direct-to-consumer (D2C) channels, with strong year-on-year sales momentum and increasing investor interest.
Role Overview: As Operations Executive, you’ll be responsible for supporting and optimising day-to-day business operations across customer/supplier relationships, stock management, purchasing and finance. From handling customer enquiries to processing orders and generating invoices, you’ll ensure that daily administrative and operational processes run smoothly and efficiently. Alongside this, you’ll act as a trusted extension to the Head of Operations, supporting stock management, accurate reporting, and seamless cross-functional workflows. As the business grows, there is clear progression to work closely with the commercial team on demand planning and to take greater of production coordination, and purchasing.
Key Responsibilities:
- Customer service & Supplier Management: Act as the primary point of contact for day-to-day customer and supplier queries. Build and maintain strong working relationships with partners and vendors. Track communications and ensure issues are resolved quickly and efficiently.
- Sales & Fulfilment Support: Process customer orders accurately and support end-to-end fulfilment workflows. Liaise with sales, warehouse, and logistics partners to ensure timely delivery. Collaborate cross-functionally to optimise stock availability and allocation.
- Operations & Supply Chain: Prepare monthly stock and inventory reporting. Raise purchase orders and manage ordering workflows via the purchasing inbox. Coordinate stock movements and shipments to/from warehouses. Oversee product testing and compliance processes. Maintain accurate internal stockist lists.
- Finance & Administration: Upload bills into Apron and maintain accurate financial documentation. Prepare payment run reports from Xero for approval and reconciliation. Support the finance team to ensure month-end processes are completed on time. Create and issue sales invoices, ensuring accurate alignment with orders.
You:
- Right to work in the UK. Unfortunately, this company cannot offer sponsorship.
- 2+ years’ experience in an operational/administrative role within a start-up FMCG company.
- Tech savvy person with a strong proficiency in Excel and bonus if experience having used stock or inventory management systems.
- Experience with finance administration or invoicing software (e.g., Xero, Apron).
- Excellent written communication skills with the ability to represent the brand tone of voice.
- Strong organisational and problem-solving skills.
- Excellent attention to detail.
- Confident communicator across suppliers, customers, and internal teams.
- Ability to prioritise multiple tasks in a fast-paced environment.
- Exposure to purchasing, inventory management, or demand planning a plus.
- Interest in health, wellness & sustainable living.
- Ability to be in London 1-2 days a week.
