The Logistics Co-ordinator is responsible for the planning and co-ordination of New Balance Flimby’s finished goods outbound shipments to New Balance’s distribution centres in the UK and the Netherlands, and to the wider New Balance international distribution networks. Additional responsibilities include co-ordinating inbound raw material supply via freight forwarders, and the overall tracking, reporting and analysis of finished goods order fulfilment.
MAIN DUTIES- Inbound Material Supply
- Track FCL/LCL inbound shipments from New Balance freight forwarder
- Arrange collections to and from specific raw material suppliers
- Arrange collections for urgent material supply imports
- Arrange collections to and from suppliers for rejected/reworked material
- Ad hoc arrangement of transport for UK material supply
- Outbound Finished Goods Orders
- Monitor incoming finished goods orders to ensure all expected orders are received in the monthly buy windows. Escalate to resolve instances where orders are not received.
- Create, maintain and close DRP transfer orders for finished good deliveries to the UK and EMEA
- Manually create production works orders for UK and EMEA
- Systematically create production works orders for corresponding monthly buy window orders for all non-UK and non-EMEA markets using the back-to-back system method.
- Track all finished good sales and transfer orders and their associated production works orders to understand on-time / late fulfilment
- Advise internal and external customers when orders are ready to ship
- Confirm with customers order collection dates and methods of shipment
- Arrange transport for customer order collection with international customer freight forwarders.
- Arrange UK distribution centre deliveries – fortnightly collections Thursday for Friday.
- Arrange the Netherlands distribution centre deliveries – fortnightly collections Wednesday for Friday.
- Use third party logistics online software to place shipment bookings for specific international shipments.
- Allocate stock to orders on the system and drop to the warehouse for picking
- Investigate any stock control issues to ensure the correct allocation of orders – resolve system order link issues
- Confirm with the warehouse the orders to get ready and prioritise for shipping
- Create commercial invoices, packing lists and any other relevant shipping documents
- Send all documentation to the customers and forwarders
- Upload shipping documents to online Trade Document Management System (TDMS)
- Upload shipping documents to New Balance International (NBIL) SharePoint site
- Request additional sales orders to be raised where orders have been partially shipped and balances need to be shipped at a later date
- Close sales orders on the system once fulfilled
- Transfer stock between system warehouse locations (excess/safety stock)
- Obtain quotes for exceptional air freight shipments and select cost effective option
- Create finance prior approvals for air freight shipments
- Book courier collections for express shipments
- Provide full tracking details and visibility of shipments to relevant stakeholders

- Update Flimby Customer Report – Daily
- Check/amend ex-factory due dates, create and issue UK Stock Order Report – Weekly
- Check/amend ex-factory due dates, create and issue NBIL Stock Order Report – Weekly
- Update Export Log Book Report – Weekly
- Run stock reports to check for completed styles for the excess/safety stock management process – Monthly
- Create and issue NBIL Recap Report to check and confirm received sales orders, country markets and prices – Monthly
- Create and issue Shipping Forecast Report - Monthly
