About the Role
The Office Manager is responsible for ensuring the smooth day-to-day operation of the office. This role involves overseeing administrative functions, managing office resources, supporting staff, and maintaining an efficient and organised work environment. The Office Manager serves as a central point of coordination across departments and helps drive operational effectiveness, while providing high-level Executive Assistant (EA) support to the CEO. This dual-function role combines operational oversight with strategic administrative support, requiring strong organisational skills, discretion, and the ability to manage competing priorities.
How you’ll contribute
- Office Operations
- Oversee daily office activities to ensure efficiency and productivity
- Maintain office systems, procedures, and policies
- Manage office supplies inventory and place orders as needed
- Coordinate maintenance of office equipment and facilities
- Administrative Support
- Provide administrative support to the CEO, senior management and teams
- Manage calendars, meetings, and internal communications
- Organise company events and off-site meetings
- Manage travel booking arrangements
- Executive Assistant Support to CEO
- Manage the CEO’s calendar, including scheduling meetings, prioritising commitments, and resolving conflicts
- Coordinate domestic and international travel arrangements, including itineraries and logistics
- Prepare briefing materials, presentations, and reports for meetings
- Act as a gatekeeper and liaison between the CEO and internal/external stakeholders
- Handle confidential information with discretion and professionalism
- Support follow-ups on key actions and strategic initiatives led by the CEO
- People & Culture Support
- Assist with onboarding of new employees (workspace setup, materials, orientation logistics)
- Act as a point of contact for staff queries related to office operations
- Support a positive and collaborative workplace culture
- Liaise with external vendors, service providers, and contractors
- Negotiate contracts and monitor service delivery
- Ensure compliance with health, safety, and security standards
- Monitor office budget and track expenses
- Process invoices from time to time
- Prepare reports on office performance and operational metrics
Who we’re looking for
- Proven experience as an Office Manager, Executive Assistant, or in a similar hybrid role
- Experience supporting C-level executives, ideally a CEO
- Strong organisational and multitasking skills with the ability to prioritise effectively
- Excellent written and verbal communication skills
- High level of discretion and professionalism
- Proficiency in Google Workspace and Microsoft (Word, Excel, Outlook, PowerPoint) and calendar management tools
- Exceptional time management and attention to detail
- Strong interpersonal and stakeholder management skills
- Problem-solving mindset with a proactive approach
- Ability to work independently and handle sensitive information
- Adaptability in a fast-paced environment
