About the Role

The Executive Assistant & Office Manager plays a pivotal role in supporting the CEO and ensuring the smooth day‑to‑day running of the office. With a primary focus on high‑level Executive Assistant support, this role manages complex scheduling, coordinates key communications, handles confidential matters with discretion, and acts as a trusted partner to the CEO. In addition, the role oversees office operations and administrative functions to maintain an efficient, organised, and well‑supported working environment for the wider team. Acting as a central point of coordination across departments, the EA & Office Manager helps drive operational effectiveness while balancing strategic executive support with hands‑on office management. This role requires exceptional organisational skills, sound judgement, and the ability to manage multiple priorities in a fast‑paced environment.

How you’ll contribute

  • Executive Assistant Support to CEO
    • Manage the CEO’s calendar, including scheduling meetings, prioritising commitments, and resolving conflicts.
    • Coordinate domestic and international travel arrangements, including itineraries and logistics.
    • Prepare briefing materials, presentations, and reports for meetings.
    • Act as a gatekeeper and liaison between the CEO and internal/external stakeholders.
    • Handle confidential information with discretion and professionalism.
    • Support follow‑ups on key actions and strategic initiatives led by the CEO.
  • Office Operations
    • Oversee daily office activities to ensure efficiency and productivity.
    • Maintain office systems, procedures, and policies.
    • Manage office supplies inventory and place orders as needed.
    • Coordinate maintenance of office equipment and facilities.
  • Administrative Support
    • Provide administrative support to the CEO, senior management and teams.
    • Manage calendars, meetings, and internal communications.
    • Organise company events and off‑site meetings.
    • Manage travel booking arrangements.
  • People & Culture Support
    • Assist with onboarding of new employees (workspace setup, materials, orientation logistics).
    • Act as a point of contact for staff queries related to office operations.
    • Support a positive and collaborative workplace culture.
    • Liaise with external vendors, service providers, and contractors.
    • Negotiate contracts and monitor service delivery.
    • Ensure compliance with health, safety, and security standards.
    • Monitor office budget and track expenses.
    • Process invoices from time to time.
    • Prepare reports on office performance and operational metrics.

Who we’re looking for

  • Proven experience as an Office Manager, Executive Assistant, or in a similar hybrid role.
  • Experience supporting C‑level executives, ideally a CEO.
  • Strong organisational and multitasking skills with the ability to prioritise effectively.
  • Excellent written and verbal communication skills.
  • High level of discretion and professionalism.
  • Proficiency in Google Workspace and Microsoft (Word, Excel, Outlook, PowerPoint) and calendar management tools.
  • Exceptional time management and attention to detail.
  • Strong interpersonal and stakeholder management skills.
  • Problem‑solving mindset with a proactive approach.
  • Ability to work independently and handle sensitive information.
