As we continue to grow our operations across Glasgow and Warrington, we are seeking an exceptional Executive Assistant to support our Medical Director and Chief Financial Officer. About the Role

Reporting directly to the Medical Director and CFO, you will provide high-level executive support across a diverse range of business, operational and governance activities. This role requires a highly organised individual who can anticipate needs, solve problems proactively and maintain absolute confidentiality.

Responsibilities

  • Manage complex and constantly changing executive diaries.
  • Prioritise appointments and commitments in line with business needs.
  • Coordinate travel, accommodation and meeting logistics.
  • Manage incoming communications and correspondence.
  • Prepare reports, presentations and briefing papers.
  • Ensure executives are fully prepared for meetings and events.
  • Schedule and coordinate internal and external meetings.
  • Prepare agendas, meeting packs and supporting documentation.
  • Attend meetings where required and produce accurate minutes.
  • Track and follow up actions to completion.
  • Support leadership, governance and board meetings.
  • Act as a key point of contact across the organisation.
  • Support communication between departments and external stakeholders.
  • Monitor deadlines and ensure timely delivery of key activities.
  • Assist with project coordination and operational initiatives.
  • Support administration related to sponsors, CROs and business partners.
  • Maintain accurate records and filing systems.
  • Assist with event planning and company meetings.
  • Support document control and business processes.
  • Undertake ad hoc projects and administrative tasks as required.

Qualifications

Previous experience in an Executive Assistant, Personal Assistant or senior administrative support role.

Required Skills

  • Proven ability to manage multiple priorities simultaneously.
  • Excellent Microsoft Office skills including Outlook, Teams, Word, Excel and PowerPoint.
  • Outstanding written and verbal communication skills.
  • Strong meeting preparation and minute-taking experience.
  • Ability to work independently and use initiative.
  • Excellent organisational and planning skills.

Preferred Skills

  • Experience supporting senior executives or directors.
  • Experience within healthcare, clinical research, professional services or a regulated environment.
  • Experience coordinating projects and governance meetings.
