Position Overview
We are seeking an experienced, friendly, professional Administrative Assistant to support our EMEA General Counsel and Compliance Officer as well as the legal and compliance teams in our growing London office.
The ideal candidate will have prior experience as an Administrative Assistant with excellent secretarial and organisational skills, be a strong team player with exceptional interpersonal and communication abilities, and demonstrate initiative and pro‑activity. They should be diplomatic, discreet, calm under pressure, and able to manage a complex and demanding workload while meeting deadlines and multitasking effectively.
Primary Responsibilities
- Support the General Counsel and Compliance Officer
- Support the Legal and Compliance teams
- Amend legal documents and reports
- Extensive diary management and coordination of meetings and calls in multiple time zones, adapting to changing schedules
- Coordinate travel arrangements, locally and internationally, including visas and itineraries
- Arrange transport, accommodation and restaurants as needed
- Prepare agendas and take minutes in committee meetings (as appropriate)
- Manage and collate reports
- Process expense reimbursements in accordance with company policy
- Handle confidential information and documentation
- Provide telephone cover for the department – taking messages and screening calls where applicable
- Process monthly AMEX bills for team cardholders
- Update contacts in Outlook and sales databases
- Prepare invoices for payment using the Concur system
- Create and periodically update PowerPoint presentations
- Perform printing, photocopying and scanning tasks
- Archive and file documentation/information
- Assist with general management report preparation
- Assist with interview coordination for recruitment within the team
Key Requirements / Qualifications
- Excellent communication and interpersonal skills
- Strong attention to detail
- Experience with Word, particularly amending documents and tracking changes
- Organised and able to follow up on open items
- Good judgement, independent thinker and resourceful
- Calm under pressure, able to prioritise and handle multiple tasks efficiently and effectively
- Knowledge and awareness of corporate culture
- Team player
- Proficient in MS Outlook, PowerPoint, Excel
- Flexible, enthusiastic, professional, driven, discreet and trustworthy
