Team Overview: The Corporate Real Estate team is responsible for Hospitality, Events Management, Facilities Management and Capital Projects.
Primary Responsibilities:
- Provide general event support to the Events Manager as directed.
- Oversee and manage all aspects of food and beverage operations for events including maintaining budget, guided by the Event Manager. Menu development over time with experience.
- Coordinate meeting room set up and breakdown according to event requirements.
- Attend and contribute to weekly event meetings.
- Collaborate with the facilities and IT/AV teams as needed.
- Process vendor payments in a timely manner and maintain records of costs for all food and beverage orders, with support from the Event Manager.
- Supervise external event support staff and ensure health and safety standards are maintained.
- Oversee meeting room bookings.
- Provide reception coverage for hospitality manager as required (i.e., lunch, annual leave).
- Oversee the planning, coordination, and execution of all LEC events, ensuring they are delivered on time and within budget.
- Act as a liaison between the LEC and employees, actively gathering feedback on past events and suggestions for future activities.
- Support the event manager to source local restaurants and venues.
- Maintain event/catering inventory and order items when required.
- Co-ordinate LEC members and support them with various initiatives to maximize employee engagement in the London Office.
- Any other duties as reasonably required.
Key Requirements / Qualifications:
- Minimum of 3 years’ experience with a focus on event coordination, preferably within a corporate environment.
- Proven experience in office management, reception, or administrative roles that included event planning and execution responsibilities.
- Be self-motivated team player with the confidence to carry out duties using own initiative.
- The ability to handle multiple tasks and priorities simultaneously in a fast-paced environment. Able to work accurately to tight deadlines in a high-pressure environment.
- Immaculate presentation at all times with outstanding attention to detail, and a corporate business image.
- Flexibility for being onsite for early morning events or evening events and occasional travel.
- Familiarity with office software, phone systems, and other technology used at the front desk.
- Proficiency in MS Office Suite such as Word, Excel and Outlook.
- Experience in Cvent a plus.
- Excellent verbal and written communication skills for interacting with clients, staff, guests, and other stakeholders.
