Position Overview

We are seeking an experienced, friendly, professional Administrative Assistant to support our EMEA General Counsel and Compliance Officer as well as the legal and compliance teams in our growing London office.

You will have experience as an Administrative Assistant with excellent secretarial and organisational skills.

You will be a strong team player with exceptional interpersonal and communication skills and have the ability to demonstrate initiative, being pro active and anticipating the needs of your client base.

Diplomatic and discreet in approach, you will be able to manage a complex and demanding workload, be able to work to deadlines and have the ability to multi task.

Above all, you will need to be well organised, capable of turning your hand to a variety of tasks and are calm under pressure whilst capable of thinking on your feet.

  • Primary Responsibilities
  • Support the General Counsel and Compliance Officer
  • Support the legal and compliance teams
  • Amend legal documents and reports
  • Manage diary and coordinate meetings and calls across multiple time zones, accommodating changing diaries and communicating schedules
  • Coordinate travel arrangements locally and internationally, including visa arrangements and itinerary preparation
  • Arrange transport, accommodation, and restaurants as necessary
  • Prepare agendas and take notes in committee meetings (as appropriate)
  • Manage and collate reports
  • Process expenses for reimbursement in accordance with company policy
  • Handle confidential information and documentation
  • Telephone cover for the department - take messages and screen calls, where applicable
  • Process monthly AMEX bills for team cardholders
  • Update contacts in Outlook and sales database
  • Prepare invoices for payment using the Concur system
  • Create and periodically update Power Point presentations
  • Print, photocopy, and scan documents
  • Archive and file documentation/information
  • Assist in preparation of regular management reports
  • Assist with interview coordination for recruitment within the team
  • Key Requirements / Qualifications
  • Excellent communication and interpersonal skills
  • Strong attention to detail
  • Experience in Word, particularly amending documents and tracking changes
  • Organised with ability to follow up on open items
  • Good judgement, independent thinker and resourceful
  • Calm under pressure, can prioritise and handle multiple tasks efficiently and effectively
  • Knowledge and awareness of corporate culture
  • Team player
  • Proficient in MS Outlook, Power Point, Excel
  • Flexible, enthusiastic, professional, driven, discreet and trustworthy are key attributes
