We are seeking a Project Administrator to become part of our busy Projects Team, providing support to our Coordinators through effective resource scheduling. About the role:

As a Project Administrator, you play a critical role in the successful delivery of projects, with a strong focus on scheduling and coordination. You take ownership of engineer scheduling and resource planning, ensuring the right people are in the right place, at the right time, with the right equipment. By maintaining clear, accurate schedules and proactively coordinating changes, you enable engineers to work efficiently and minimise downtime. Alongside this, you ensure project documentation, communication, and reporting are well organised and kept up to date, allowing the wider project team to operate smoothly and deliver consistently for customers.

Responsibilities:

  • Project Coordination: Assist project coordinators with planning, scheduling, and engineer assignments. Liaise directly with clients. Update project plans, calendars, and timelines to reflect current status. Handle project procurement needs.
  • Documentation & Reporting: Prepare and maintain critical project documentation. Ensure all project documents are version-controlled, and readily accessible. Assist with the creation of dashboards and reporting materials for stakeholders and leadership teams. Guarantee that documents, trackers, and related resources are consistently updated and stored in designated drives.
  • Administrative Support: Monitor project inboxes and respond or redirect queries appropriately. Assist with any additional tasks or responsibilities as needed. Take meeting notes and document them for future reference.
  • Governance & Compliance: Ensure projects follow organisational policies, procedures, and governance frameworks. Support audit activities by providing accurate records and documentation. Maintain information security by complying with the company's Information Security Management System (ISMS) and all relevant policies.

About you:

Skills & Experience:

  • Essential: Strong administrative and organisational skills with excellent attention to detail. Proven experience in scheduling, coordinating diaries, or managing rotas in a fast-paced environment. Confident communicator, happy to talk directly to clients and engineers. Ability to manage multiple tasks and deadlines in a fast-paced environment. Proficient in Microsoft 365 (Excel, Outlook, Teams, SharePoint, PowerPoint). Ability to work effectively with team members at all levels.
  • Desirable: Experience working in a project or PMO environment. Familiarity with project management methodologies (e.g., PRINCE2, Agile). Understanding of financial and budget tracking processes.
