Position Overview

We are seeking an Administrative Assistant to support the Senior Director, International & Global Hardlines, and the wider Consumer Products & Experiences (CPX) team, spanning EMEA, UCAN, APAC and LATAM markets.

This role is based in London and will work closely with regional leads and cross‑functional partners across multiple time zones.

The successful candidate will work independently, anticipate needs, adapt to changing priorities, and manage multiple responsibilities with strong attention to detail.

A high level of organisation and effective communication skills are essential.

Responsibilities

  • Diary management, scheduling meetings and calls internally and externally, including booking and confirming large cross‑functional meetings across multiple time zones (EMEA, UCAN, APAC, LATAM).
  • Attend meetings, take notes, and manage agendas.
  • Assist in preparing presentation slide decks and other materials, including for onboarding new team members.
  • Manage communication and information flow across multiple teams, functions and regions (including global marketing, PR, brand, consumer products, and content).
  • Coordinate with regional Consumer Products teams and assistants across EMEA, UCAN, APAC and LATAM to keep the wider Hardlines organization aligned.
  • Manage various internal events, including offsites and training.
  • Coordinate travel arrangements as required, both domestically and internationally.
  • Perform general admin tasks such as processing travel and expense reports and maintaining Google group distribution lists.
  • Collaborate with other assistants across multiple departments and regions.
  • Candidate Profile

Must‑have

  • 10+ years of experience as an administrative assistant, including supporting VP level or above, or equivalent experience demonstrating similar scope and responsibility.
  • Motivation to develop a career in the administrative/business support field.
  • Ability to prioritize, manage complex calendars, and coordinate across multiple time zones and stakeholders.
  • Ability to work effectively independently and as part of a team in a dynamic, team‑oriented setting.
  • Responsive to incoming requests and changing priorities.
  • Discretion and ability to maintain confidential information.
  • Effective written and verbal communication skills and ability to manage multiple tasks and stakeholders simultaneously.
  • Proficiency in G‑Suite (or similar productivity tools).
  • Commitment to embrace and advocate for inclusion.

Nice‑to‑have

  • Previous experience in tech, film and/or TV.
  • Experience coordinating events, offsites, or trainings.
  • A second European language, or additional language skills relevant to our international markets.
