We are seeking a diligent and bilingual (English/Mandarin Chinese) Sourcing & Vendor Management Administrator to support our growing business needs. The successful candidate will provide administrative support across Sourcing, Supplier Management, and will coordinate key projects. They will also ensure supplier records, quotations, and performance data are maintained accurately and efficiently.

This role requires excellent communication skills, strong organisational ability, and attention to detail. The ideal candidate will be proactive, analytical, and capable of working effectively with both internal teams and external suppliers. You’ll be given an opportunity to develop within a growing sourcing and vendor management function and work in a collaborative and supportive working environment. This is an office-based role at our Wrexham HQ and occasional communication with international vendors and potential overseas travel may be required.

WHAT YOU’LL DO

  • Support business sourcing plans across product categories to deliver cost savings.
  • Assist with end-to-end sourcing activities, including RFIs, RFPs, and RFQs.
  • Conduct market analysis, supplier benchmarking, and cost modelling to identify value opportunities.
  • Support supplier negotiations to achieve cost savings, cost avoidance, and improved commercial outcomes.
  • Maintain vendor databases and records, ensuring all information is accurate and up to date.
  • Support vendor onboarding and offboarding processes, ensuring all documentation is completed and compliant.
  • Assist in identifying opportunities for process improvements, and operational efficiencies.
  • Identify, evaluate, and onboard new suppliers in line with business requirements.
  • Translate English and Chinese documentation where required.
  • Coordinate with internal stakeholders to support process improvements.

Vendor Performance & Project Management

  • Monitor supplier performance against KPIs and support regular performance reviews.
  • Track project action plans and ensure timely completion of agreed actions.
  • Identify performance gaps and support corrective action plans.
  • Maintain strong supplier relationships to ensure service continuity and long-term value.
  • Support supplier risk management and mitigation activities.
  • Prepare reports and analyse supplier performance data to identify improvement opportunities.
  • Assist with vendor audits, evaluations, and ensure compliance with company standards, gathering key documentation.
  • Communicate effectively with vendors to ensure clear understanding of company requirements, scheduling and facilitating meetings and action plans.
  • Support contract negotiations, pricing discussions, and commercial terms discussions.
  • Assist in resolving supplier issues and escalate unresolved matters where necessary.

WHAT YOU’LL BRING

  • Bachelor’s degree in Business Administration, Supply Chain Management, or a related field (or equivalent experience).
  • Previous experience in vendor management, procurement, supply chain, or administrative support is preferred.
  • Fluent in both English and Mandarin Chinese (written and spoken).
  • Strong organisational and multitasking abilities.
  • Excellent attention to detail and accuracy in record-keeping.
  • Strong communication and interpersonal skills.
  • Proficient in Microsoft Office Suite and related software applications.
  • Basic understanding of procurement and vendor management processes.
  • Strong problem-solving skills and ability to work independently.
