Role Information

Location: Aberdeen, 5 days in office a week.

Contract Type: PAYE, until end of December 20206 (possibility of extension).

Role Summary

The Expeditor is essential during the final project phase to ensure timely delivery of critical construction materials. This role is responsible for direct and frequent remote contact with suppliers, proactive follow‑up on outstanding purchase orders, early identification of potential delays, and maintaining accurate, up-to-date data in the client’s STAR FSM system (including PO receipts, delivery dates, and due date adjustments). The Expeditor will play a critical role in mitigating supply chain risks, maintaining construction momentum, ensuring schedule adherence, and driving efficient project completion.

Accountabilities

  • Contact suppliers regularly by phone, email, or video conference to confirm order status, progress, and shipment schedules, escalating issues as required.
  • Proactively follow up on overdue items and implement recovery actions with suppliers to avoid impact on project schedule.
  • Identify and report bottlenecks, highlighting risks to project management with recommended solutions.
  • Maintain accurate expediting data in STAR FSM, including PO receipt status, promised delivery dates, and due date adjustments.
  • Produce clear, accurate, and regular Excel‑based expediting reports, including pivot tables and dashboards, to highlight critical items, overdue deliveries, and trends.
  • Liaise closely with engineering, logistics, site team, document control, finance and purchasing to resolve material issues affecting construction or commissioning.
  • Support management in vendor performance reviews and track implementation of supplier recovery plans.
  • Handle multiple POs simultaneously. Full accountability from the time PO is issued until the cargo is packed for collection.
  • Post‑delivery support – resolve any discrepancies, shortages, or warranty issues.
  • Documentation follow‑up for the POs assigned.

Qualifications and Experience

  • Proven experience in expediting for major capital projects, preferably in oil & gas, offshore, or large EPC environments.
  • Strong skills in Excel and data management – ability to build and maintain detailed expediting trackers, reports and visual dashboards.
  • Hands‑on experience with procurement systems such as STAR FSM or similar ERP tools.
  • Excellent communication skills with confidence to engage suppliers directly and drive action.
  • Self‑motivated, well organized, and capable of working under pressure to meet tight deadlines.
