We are partnering with a global energy leader to recruit a highly organised Project Coordinator to support senior leadership within their Technology function. As Project Coordinator, you will support three senior leaders across a complex international technology landscape. You will play a critical role in ensuring the smooth coordination of projects, leadership schedules, and team activity—acting as the glue that keeps operations aligned, efficient and moving forward. This is a high-impact role offering exposure to senior stakeholders, global teams, and transformation-driven initiatives.
Key Responsibilities
- Calendar & Scheduling Management: Coordinate complex, global diaries across three leaders, ensuring meetings align with key milestones and priorities.
- Project & Meeting Coordination: Drive meeting effectiveness by organising agendas, preparing materials, tracking actions, and distributing minutes to maintain accountability.
- Stand-Up Management: Coordinate daily transformation stand-ups, ensuring sessions are scheduled, outcomes tracked, and momentum maintained.
- Executive Support: Provide high-quality administrative support with discretion, managing communications and flagging conflicts proactively.
- Stakeholder Liaison: Act as a central coordination point between internal teams, external stakeholders, and executive assistants.
- Team & Event Coordination: Support team meetings, workshops, and planning sessions—handling logistics, materials, and communications.
- Global Travel Management: Organise complex international travel, including itineraries, visa considerations, and contingency planning.
- Expense Management: Manage expenses end-to-end, ensuring timely submission, reconciliation, and compliance.
- Onboarding Support: Coordinate onboarding for new team members to ensure a seamless experience.
- Confidentiality: Handle all tasks with the utmost professionalism and discretion.
Requirements
- Proven experience in project coordination, team coordination, or senior administrative roles.
- Background in fast-paced, global organisations preferred.
- Strong organisational skills with the ability to manage multiple priorities and deadlines.
- Experience working with senior stakeholders and confidential information.
- Excellent communication skills (written & verbal).
- Proactive, solutions-focused mindset with strong attention to detail.
- Proficiency in Outlook and SAP Concur (Microsoft 365 tools including Word & PowerPoint essential; familiarity with Microsoft Copilot advantageous).
