NES Fircroft are delighted to be partnering with a Construction industry giant on their Energy Transition journey, supporting the development of a Clean Energy project in Wales.
The client are looking for an experienced Project Admin Assistant to join the project on a contract basis to work Monday to Friday on site full time 5 days per week. In return candidates will be offered strong day rates of pay and the chance to work on a flagship client project progressing the UKs journey to a cleaner energy industry.
Job Purpose:
To provide administrative and secretarial support to the Project Team including but not limited to: β
β’ Managing and coordinating all administrative tasks for the Project: Aiding the Project team in maintaining the Project documentation including printing, copying, collating information, data input and filing.
β’ Updating existing Project registers and maintaining Project tracking databases with accuracy.
β’ Ensuring that all visitors and external parties are fully inducted and hosted throughout their visit.
β’ Taking minutes at various meetings on behalf of the Project Team.
β’ Liaising with vendors and external parties with matters relating to the Project.
β’ Supporting the Project Team in drafting presentations, collating reports and plans.
β’ Assist in managing the written correspondence with various external and internal parties on behalf of the Project Manager, when required. This may involve drafting letters/emails and obtaining signatures where required.
β’ Assisting with the organisation of events, meetings, refreshments, meeting room set-up and coordinating travel arrangements relating to the Project.
β’ Assist the Project team in the monitoring and ordering of equipment and consumables within set budget limits.
β’ Assisting other members of the Project Team as required in their daily activities.
β’ Undertaking any other tasks commensurate with skills, qualifications and experience effectively and efficiently.
Key Responsibilities:
β’ Internally β Working primarily with the Project Team and numerous departments across the organisation.
β’ Externally β Assisting the Project Team in liaising with Visitors, Contractors and other 3rd party organisations.
Qualifications & Experience:
β’ Previous successful experience within a similar Administration role is essential.
β’ Experience in providing administrative support to Project teams would be advantageous.
β’ Experience within the Oil and Gas industry, Engineering disciplines and a mixed office team is desirable.
β’ NVQ3 Business Administration or equivalent (or equivalent).
β’ GCSE English (or equivalent).
β’ Excellent standard of English language, exemplary verbal and written communication skills.
β’ Proficiency in Microsoft Office Packages including, (but not limited to):- Word, Access, Power Point, Outlook and Excel.
β’ Has high levels of attention to detail and accuracy with the ability to proofread for grammar, spelling, and punctuation.
β’ Ability to manage business correspondence with efficiency and accuracy.
β’ Excellent organisational, interpersonal and communication skills.
β’ Pragmatic and flexible approach is essential, demonstrates a professional approach and has a proactive attitude with the ability to sustain high levels of performance.
β’ Demonstrates high levels of enthusiasm and has a positive outlook.
β’ A team-player with the ability to self-motivate, use own initiative and work independently.
β’ Excellent planning skills with the ability to effectively prioritise their workload to meet agreed deadlines, sometimes under pressure.
Special Features:
β’ This role may require occasional travel to Vendors, Suppliers and Contractors.
